JOB SCOPE:
The RoadCARE Vendor Data Coordinator plays a critical role in ensuring that vendors are accurately set up, maintained, and updated in the company’s systems. This role ensures that the RoadCARE team has reliable vendor information to quickly and effectively dispatch the right vendors when customers need support. By maintaining vendor data integrity, coordinating updates, and monitoring compliance, the RoadCARE Vendor Data Coordinator directly supports service reliability, customer satisfaction, and operational efficiency.
 
KEY RESPONSIBILITIES:
  • Accurately enter, update, and maintain vendor information in company databases and roadside assistance platforms.
  • Verify vendor details (e.g., services provided, coverage areas, certifications, insurance, and contact information).
  • Ensure all vendor data complies with company standards, policies, and legal requirements.
  • Regularly audit and reconcile vendor records to eliminate duplicates, outdated information, or inconsistencies.
  • Collaborate with the RoadCARE team to ensure vendor profiles contain the necessary details to enable timely and accurate dispatch.
  • Track vendor onboarding status and assist with credentialing, required documentation, and system setup.
  • Maintain service region coverage maps and vendor availability to ensure optimal response times for customers.
  • Act as a liaison with vendors to gather updated documentation, insurance certificates, service capabilities, and coverage area details.
  • Follow up with vendors proactively to ensure compliance with company requirements.
  • Support the development of strong vendor relationships through timely communication and attention to detail.
  • Generate reports to identify gaps in vendor coverage, missing data, or expired credentials.
  • Work with leadership to recommend improvements in vendor data processes and systems.
  • Monitor KPIs related to vendor accuracy, coverage, and responsiveness.
 
SKILLS/ABILITIES:
  •  Strong attention to detail and organizational skills; ability to manage large data sets with accuracy.
  • Excellent communication skills, both written and verbal, with a customer- and vendor-focused mindset.
  • Ability to work independently and as part of a team in a fast-paced, service-driven environment.
  • Strong problem-solving skills and ability to prioritize multiple tasks.
 
EDUCTION & EXPERIENCE:
  •  Associate or bachelor’s degree in Business Administration, Supply Chain, Logistics, or related field preferred.
  • 2+ years of experience in data entry, vendor management, customer service, logistics, or related administrative role.
  • Transportation, roadside assistance, or fleet services experience strongly preferred.
TECHNOLOGY SKILLS:
  •  Proficiency in Microsoft Office Suites - Word, Excel, PowerPoint, and Outlook.
