Summary: The Portfolio Maintenance Manager reports directly to the Vice President of Property Management. He/She is responsible for ensuring that the physical aspect of the assigned apartment communities meets company’s standards and applicable laws in the areas of inspection, maintenance, and repair. He/She will provide solid leadership to the team and provide guidance, coaching and serve as a mentor for the maintenance personnel. The Portfolio Maintenance Manager also leads and manages the Assistant Portfolio Maintenance Manager.
Provide support to the Maintenance Supervisors/Managers, including responsibilities such as ensuring that the physical aspect of the apartment communities meet company's standards and applicable laws in the areas of inspection, maintenance, and repair. Along with the Community Manager, oversees contractors working at the community.
Essential Duties and Responsibilities in the following:
- Assists in the annual personnel review process of onsite maintenance personnel.
- Assist the People Division with recruiting maintenance personnel.
- Provides leadership and guidance for capital, non-routine projects.
- Leads the Assistant Portfolio Maintenance Manager.
- Leads the construction acceptance process.
- Leads the construction-to-property management transition process.
- Acts as a liaison in the construction-property management and IT-property management relationships.
- Develops and implements maintenance policies and ensures code compliance.
- Directs company/portfolio-wide projects.
- Identifies and documents maintenance departmental needs, concerns, and improvements.
- Inspects completed work for conformance to specifications and standards.
- Interprets general company policies to maintenance team members and enforces safety regulations as described in manual.
- Keeps current on industry enhancement opportunities.
- Manages the floating (portfolio) maintenance supervisors.
- Negotiates contract pricing and terms.
- Establishes and leads the preventative maintenance program.
- Leads quarterly inspections.
- Reviews bid packets
- Reviews service agreements and PCA's.
- Reviews work scopes.
- Ensures safety compliance for the residential portfolio.
- Performs regular site visits throughout the portfolio.
- Provides guidance and direction to on-site maintenance staff on technical, personnel management, scheduling and administration.
- Provides advice and guidance on the diagnosis and repair issues of complicated issues relating to areas such as HVAC, electrical, plumbing, pool, carpentry, dry walling, exterior structural, painting, appliances, and cleaning.
- Provides ongoing training, coaching, and mentoring to onsite maintenance personnel
- Inspires “team spirit” in staff and resolves work problems or assists workers in solving work issues.
- Responsible for establishing a training program for new maintenance staff.
- Other duties as assigned.
