Program Specialist – Data Management, Systems and Processes
Jays Care Foundation | Toronto Blue Jays Baseball Club
Jays Care Foundation is looking for a highly motivated and detail-oriented Program Specialist to join our team. The Program Specialist will be responsible for overseeing and managing data management, systems, and processes within our organization. Their primary focus will be on developing, implementing, and maintaining effective data management strategies to ensure the accuracy, integrity, and security of our data through our Qualtrics and Salesforce platforms. Candidates should have excellent organizational and communication skills, a solid understanding of system platforms, and experience in data entry and process mapping.
This position will be a hybrid position with approximately 50% working in-person at the Rogers Centre Jays Care office (1 Blue Jays Way, Toronto, Ontario) 2 days of the week and 50% working from home 3 days of the week. Please note: some weeks may require additional in person office days on an as needed basis. Successful candidates may opt to work in-person for more than 2 days each week, pending a conversation with their supervisor.
REPORTS TO: Jays Care Senior Manager, Programs
TERM: September 5, 2023 – September 6, 2024
COMPENSATION: ($27/hour – 35 hours per week)
RESPONSIBILITIES:
- Develop and implement data management policies, procedures, and best practices to ensure data integrity, accuracy, and consistency across the organization.
- Design and maintain efficient data collection, storage, and retrieval processes to meet the needs of various programs and stakeholders.
- Collaborate with cross-functional teams to identify data management requirements and develop appropriate solutions.
- Establish data quality standards and conduct regular audits to identify and resolve data discrepancies or issues.
- Monitor data management systems, identify areas for improvement, and make recommendations for enhancements or system upgrades.
- Train and support staff members on data entry, data management procedures, and use of data management systems (Qualtrics and Salesforce).
- Develop and maintain documentation, including user guides and training materials, to support data management processes.
- Ensure compliance with data privacy and security regulations, such as GDPR or HIPAA, and implement appropriate safeguards to protect sensitive data.
- Stay up to date with industry trends and advancements in data management systems and technologies.
- Provide technical support and troubleshooting assistance to end-users regarding data management systems and processes.
- Assist with other assigned tasks as needed
EXPERIENCE AND SKILLS:
EDUCATION/TRAINING/CERTIFICATION:
- Completion or progress towards a University Degree and/or College Diploma in disciplines surrounding Computer Science, Information Technology/Systems, Program Administration, Business Administration, or related field preferred.
JOB KNOWLEDGE/SKILLS REQUIRED (must have):
- Experience in a program or project management.
- In-depth knowledge of data management principles, practices, and technologies.
- Proficiency in using data management systems and software tools, such as SQL, Excel, or data visualization platforms.
- Strong analytical and problem-solving skills, with a keen eye for detail.
- Excellent communication skills, both verbal and written, with the ability to effectively convey complex information to diverse audiences.
- Ability to collaborate and work effectively with cross-functional teams.
- Ability to handle multiple projects and priorities in a fast-paced environment.
- Strong organizational and time management skills.
JOB KNOWLEDGE/SKILLS DESIRED (asset):
- Professional experience in the public and/or the not-for-profit sector
- Familiarity with data privacy and security regulations and best practices.
- Experience with process improvement methodologies, such as Lean or Six Sigma, is a plus.
- Knowledge of HTML, CSS, and JavaScript
- Knowledge of Salesforce or Qualtrics
