Job OverviewWe are seeking a dedicated and detail-oriented Part-Time Administrative Assistant to join our non-profit organization in San Francisco. This remote-friendly position entails working 4 hours per day with flexible scheduling options between 9 AM and 5 PM, Monday through Friday, requiring in-person attendance on Mondays and Fridays, along with one remote day each week.   • Execute various operational tasks, encompassing purchasing, assembling, delivering, and installing supplies and equipment, while ensuring timely monitoring and distribution of shipments.
  • Oversee general clinic and office operations, facilitating communication regarding staff schedules, rosters, and attendance to ensure departmental efficiency.
  • Support onboarding activities for new staff by coordinating training sessions, managing system access, and addressing software-related issues.
  • Manage departmental correspondence, including voicemail, mail, email, and meeting minutes.
  • Screen and validate MediCal and MediCare eligibility.
  • Maintain accurate tracking and communication of client referrals for effective service coordination and data collection.
  • Conduct financial reconciliations of expenses, verify invoices, compile reports, and monitor compliance with budgetary constraints.
  • Uphold precise record-keeping and database management to support quality assurance and compliance protocols.
  • Manage staff transportation logistics and programmatic accounts.
  • Distribute stipends to interns, volunteers, and program participants.
  • Facilitate off-boarding processes for staff and oversee inventory management of equipment.
  • Perform site visits to behavioral health clinics and administrative offices as necessary to ensure adherence to best practices in safety and compliance.
  • Maintain confidentiality in handling sensitive information in accordance with HIPAA standards.
Required Skills
  • Proficiency in Microsoft Excel, including data analysis, graphing capabilities, and advanced spreadsheet functions.
  • Competence in utilizing PC computers and related software.
  • Strong verbal and written communication skills, capable of developing clear reports and correspondence.
  • High-level organizational abilities and time management skills.
  • Excellent customer service aptitude towards colleagues and external stakeholders.
  • Ability to foster and maintain positive professional relationships internally and externally.
  • Flexibility to effectively juggle multiple priorities in a fast-paced environment.
  • Capacity to adapt to evolving conditions and high-pressure situations.
Qualifications
  • A minimum of three years of experience in an office setting is required.
  • An annual TB test and completion of a fingerprint background check are mandatory for this role.
