Hiring Range: $20.07 - $24.58 Per Hour

This position is a hybrid position with up to 25% of time spent onsite

Kitsap Mental Health Services (KMHS) is hiring a Forensic Program Data Entry Specialist to support accurate and timely data reporting across several key behavioral health programs, including FPATH, FHARPS (Forensic Housing and Recovery Through Peer Services), and OCRP. This position plays a critical role in maintaining participant data, ensuring documentation accuracy, and supporting direct service staff through efficient data coordination. The Data Entry Specialist serves as a central resource for reporting, quality assurance, and communication with the Washington State Health Care Authority (HCA), helping ensure compliance with contract and regulatory requirements.



Primary Responsibilities:

• Accurately enter and maintain participant data in PDAMS, including referrals, housing placements, subsidies, services/activities, enrollments, and discharges.
• Track and manage FHARPS housing subsidies by maintaining internal ledgers and supporting documentation.
• Ensure data is updated in real-time and complies with all HCA reporting standards and timelines.
• Collaborate with Forensic Program staff to gather required documentation and resolve data gaps.
• Support direct service staff by helping to resolve documentation and subsidy coordination barriers.
• Participate in HCA-hosted meetings, trainings, and troubleshooting sessions related to PDAMS and data compliance.
• Run data quality checks and generate reports for internal program monitoring and contract compliance.
• Serve as a liaison between KMHS and HCA for data clarification and corrections.
• Provide staff training and technical support related to PDAMS procedures and documentation practices.
• Maintain up-to-date working knowledge of relevant reporting systems, documentation standards, and confidentiality requirements.
• Coordinate work assignments to ensure completion in a timely and high-quality manner.
• Participate in program development, team meetings, and quality improvement efforts.
• Maintain accurate, timely chart documentation in compliance with agency and funding guidelines.
• Demonstrate flexibility and professionalism in a dynamic and collaborative environment.

 

 

Minimum Qualifications:

EDUCATION: High School Diploma or GED

EXPERIENCE: Experienced (minimum 2 years of job-related experience)

 

Preferred Qualifications:

EDUCATION: Associate’s Degree in a related field.

EXPERIENCE: Intermediate (minimum 3 years of job-related experience)

Familiarity with (or ability to learn) billing formats and requirements (HIPAA 837, 834, HCFA, UB04, etc.).  Demonstrated experience in a multi-software environment, Windows operating systems and MS Office. 

 

Performance Requirements:

KNOWLEDGE:

  1. Working knowledge of HIPAA/HITECH.

 

SKILLS:

  1. Must possess excellent written and verbal communication skills.
  2. Skill in cross-team communications and the ability to deliver instruction and information about data issues in non-technical terms. 
  3. Ability to work across the agency with staff from all levels (line staff, supervisors, directors, etc.).

2. Work well in a continually changing environment with high stress and pressure being the norm.

 

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

 

Work Environment: This position is a hybrid position with up to 25% of time spent onsite.

Frequent mobility and/or sitting required for extended periods.
