Executive Assistant - Action Officer (Basic) – 1 FTE
Clearance: Public Trust Required upon application
Location: Washington D.C./Hybrid
Education: Bachelor's Degree preferred. Minimum of 2 years of previous executive support. Experience in a government R&D environment preferred.
Primary Responsibilities:
- Serve as Executive Assistant for the Office Director (OD) to support all aspects of OD daily work routine.
- Coordinate work with ARPA-H staff as needed; play a key role in the coordination of staff efforts both within and outside the office and Agency.
- Track all actions/taskers to ensure they are addressed in a timely fashion (i.e.: responding to data calls, providing input to briefings, developing talking points and coordinating responses and input for upcoming meetings with internal and external stakeholders)
- Coordinate through regular meetings, briefings, and feedback sessions with program teams ensuring all team members are aligned with mission office goals and timelines. Take meeting minutes, create and edit program and administrative documents.
- Schedule office meetings; assist in the preparation and distribution of meeting agendas and materials.
- Maintain paper and electronic filing systems.
- Manage and maintain the complex calendar and schedule of MOD.
- Resolve conflicting priorities and orchestrate changes to calendar as required which may include coordination, verification and scheduling meetings with senior government personnel, congressional members and staff, industry and academia.
- Other duties as assigned to assist mission office leadership in scientific, business, and organizational management.
Experience Requirements:
- Excellent organizational and communication skills, strong attention to detail, and the ability to handle a wide variety of tasks, including briefing support and general administration.
- Must have initiative, be detail-oriented, and adept at multitasking in a high-pressure environment. Demonstrated ability to respond quickly and manage changing priorities effectively.
- Bachelor's Degree preferred.
