The Role
Join us as a friendly and organized Office Assistant to keep our Medellin office running smoothly. You’ll be the go-to person for welcoming visitors, supporting the team, managing daily office operations across multiple floors, and keeping things organized. You’ll also help coordinate with vendors, assist with booking and travel support, and make sure our events and onboarding run without a hitch. Main Responsibilities
Front Desk & Visitor Experience
- Greet visitors and staff in a professional, friendly, and welcoming manner
- Manage incoming calls, post, packages, and deliveries
- Keep the front desk and reception area clean, organized, and presentable
- Office Operations & Facility Support
- Support the day-to-day running of the Medellin office across 4 floors (~950 employees)
- Coordinate meeting room bookings and setups
- Help maintain general workspace organization and cleanliness
- Support local health and safety practices in the office
Vendor & Supplies Coordination
- Work closely with vendors and service providers (e.g., cleaning, catering)
- Monitor and restock office supplies as needed
- Log and follow up on any facilities-related issues to ensure timely resolution
- Travel Support
- Act as the first point of contact for travel-related queries in the COT time zone
- Support employees with troubleshooting or questions related to bookings, itineraries, or policy (primarily through Navan)
- Help ensure a smooth transition as we continue rolling out self-serve travel tools, stepping in when local support is needed
Employee & Event Support
- Assist with organizing internal events, team gatherings, and office celebrations
- Help foster a positive office culture through daily interactions and staff support
Admin Support & Onboarding
- Respond to internal office-related queries from employees
- Assist the Office Manager with administrative tasks and ad-hoc projects
- Help prepare desks and materials for onboarding new hires
Key Requirements
- Previous experience in an office assistant, front desk, or administrative support role preferred
- Strong interpersonal and communication skills
- Highly organized with excellent attention to detail
- Ability to multitask and prioritize effectively in a fast-paced environment
- A proactive, can-do attitude and willingness to support a dynamic team
- Comfortable being fully office-based in Medellin
- English at least B2
