Location: Remote (must be available to work in EST timezone)

Timezone Availability: Must be available to work within the EST timezone.

Salary range: $1700 - $2500 USD

We are seeking a proactive and detail-oriented Executive Assistant to support our operations and manage our growing network of creators.

Position Overview: The Executive Assistant will play a pivotal role in managing relationships with our social media talent, negotiating terms, and overseeing the onboarding of new creators. You will also handle client communication as needed and work closely with the CEO to ensure smooth and efficient operations. This role requires exceptional organizational skills, problem-solving abilities, and the capacity to work independently.

Responsibilities

  • Talent Management: Oversee and manage relationships with existing talent, negotiate terms, and ensure their needs are met.
  • Onboarding: Organize and facilitate the onboarding process for new creators, ensuring a smooth transition into our agency.
  • Client Communication: Act as a point of contact for clients when required, maintaining professionalism and clarity in all communications.
  • Problem-Solving: Address and resolve any issues that arise promptly and effectively.
  • Organization: Maintain high levels of organization in managing tasks, schedules, and documentation.
  • Sourcing Creators: Identify and reach out to potential new creators to expand our talent pool.

Qualifications:

  • Proven Ability to Work Independently: Experienced in managing responsibilities autonomously or within a small team, requiring minimal supervision.
  • Exceptional Organizational Skills: Skilled in managing complex workflows, prioritizing tasks, and maintaining structure in a fast-paced environment.
  • Attention to Detail: Meticulous in ensuring accuracy and quality across all tasks, from document preparation to project coordination.
  • Creative Industry Experience: Familiarity with the demands of a creative agency, including project management, client relations, and understanding creative processes.
  • Tech-Savvy: Proficient in using office software, project management tools, and communication platforms, with a quick learning curve for new systems.
  • Client-Facing Skills: Adept at communicating with clients, managing expectations, and conveying ideas clearly and professionally.
  • Adaptability and Proactiveness: A self-starter who can adapt to changing priorities and take initiative in a dynamic environment.
  • Creative Problem-Solving: Capable of providing innovative solutions to challenges in a creative agency setting, from project delays to client demands.
  • Resource Management: Experience managing resources, including freelance creatives, external vendors, and project budgets, to ensure efficient delivery.
  • Follow-Up and Tracking: Strong ability to follow up on tasks, project milestones, and client requests, ensuring nothing slips through the cracks.
  • Consistency in Communication: Detail-oriented in crafting consistent messaging, tone, and branding across all communication channels.
  • Project Management Skills: Ability to manage creative projects, coordinate with multiple teams (e.g., designers, writers, developers), and ensure deadlines and deliverables are met.

Requirements

  • Technical Proficiency: Experience with tools such as Canva and Google Sheets is preferred.
  • Organizational Skills: Demonstrated ability to stay highly organized and manage multiple tasks efficiently.
  • Communication Skills: Ability to communicate professionally and clearly with clients and team members.
  • Social Media Knowledge: Previous experience with social media is a plus, though not required.

Preferred Qualifications:

  • Experience working with creators or talent management in a similar capacity.
  • Familiarity with the creative industry and the needs of creators.
