Senior Manager - Head Facilities & Administration - India

This role is responsible for overseeing end-to-end facilities and workplace services at Paychex India (Bangalore site), ensuring operational excellence, compliance, employee experience, and alignment with global workplace standards. The incumbent will partner closely with global facilities leadership and the India site head to deliver a safe, efficient, sustainable, and engaging workplace environment.
Responsibilities:- Develop and implement the India workplace and facilities strategy, aligned with global standards and local business needs. Drive workplace design, space optimization, and future of work models (collaboration spaces, hybrid models, digital workplace initiatives).
- Lead business continuity planning (BCP), disaster recovery (DR) and crisis management readiness for facilities & Ensure adherence to ESG / sustainability goals (energy optimization, green practices, waste management).
- Manage annual budgeting, forecasting, and cost optimization for facilities and administration & Establish robust vendor governance and strategic partnerships for facilities, transport, security, and housekeeping
- Oversee daily operations including housekeeping, cafeteria, pantry, reception, front-office, and mailroom services & 2. Drive end-to-end facilities maintenance (HVAC, electrical, mechanical, plumbing, UPS, DG, elevators, fire safety).
- Ensure compliance with local laws & regulatory requirements (Shops & Establishments Act, fire & safety norms, labor laws) & Manage space planning, seating allocation, and workplace utilization to support business growth
- Oversee employee engagement events & site-level administration support, in partnership with HR & Communications.
- Ensure 100% compliance with health, safety, and environment (HSE) standards & Implement POSH, fire safety, emergency evacuation drills, and occupational health protocols.
- Collaborate with leadership on employee well-being initiatives related to workplace environment
- Lead a multi-disciplinary facilities & admin team; mentor and develop capabilities for future growth & Build a culture of operational excellence, ownership, and customer service orientation & Ensure seamless collaboration across global facilities, procurement, IT, and HR functions.

- 14+ years of experience in .
- Proven track record in managing large facilities (>2000 employees) in a multinational / GCC setup. Strong understanding of regulatory compliance, vendor management, contracts, and financial management. Demonstrated expertise in facilities technology systems (CAFM, BMS, Access Control, Visitor Management). Excellent stakeholder management skills with ability to influence across global and local leadership. Preferably certified in NEBOSH / IOSH / PMP / Six Sigma or related workplace safety/facilities certifications.
