As the full time Office Coordinator, you will play a vital role in supporting Bay Vista Commons through administrative duties, billing, accounts receivable management, and ensuring smooth operations. M&M is a faith-based, non-profit multi-service agency dedicated to providing exceptional care to over 2,000 senior adults and children each year. Our mission is grounded in compassion and a commitment to service, and we are seeking a dedicated Office Coordinator to join our team at Bay Vista Commons (BVC). Full Time (40 hours a week)
Starting pay : $20.75- $24.29/hr. based off applicable years of experience
Key Responsibilities:
Billing & Accounts Receivable:
Prepare and submit resident invoices and file old invoices.
Update the Point Click Care (PCC) system with relevant changes and submit Medicaid claims monthly.
Manage resident trust accounts and perform monthly audits.
Collect, track, and process checks for residents, HAP, and Medicaid.
Monitor delinquent accounts and initiate follow-up actions.
Reports & Census/Admissions:
Prepare month-end reports and ensure accurate tracking of census data.
Assist with move-in and move-out processes, including coordinating documents and ensuring smooth transitions.
Track Medicaid renewals and manage office supplies.
Miscellaneous:
Conduct tours for prospective residents and their families.
Assist with HUD applications, admissions paperwork, and other marketing tasks.
Provide support for residents and families during the HUD recertification process.
Qualifications:
Education: Post-secondary education or equivalent experience.
Experience: Two years of related experience, preferably in an administrative or healthcare setting.
Skills & Abilities:
Strong keyboarding skills (50+ WPM)
Excellent written and verbal communication
Critical thinking and problem-solving
Ability to manage multiple tasks, meet deadlines, and work effectively with others
Proficiency in Microsoft Office Suite, with experience in database management a plus
Ability to handle confidential information with discretion
