We are currently looking for a Junior/Intermediate Administrative Assistant to join our Edmonton studio. In this role, you will be an active part of the DIALOG Administration team, providing valuable support to Client Services, supporting DIALOG projects, coordinating numerous events throughout the week, while contributing to our dynamic, collaborative work environment. You will sit alongside Client Services at our studio reception desk and will begin by collaborating with senior administrative team members to gain hands‑on experience and mentorship. This foundation will support your professional growth as you develop your skills and expertise.
How you'll make a difference:
Administrative and Studio Support:
Deliver flexible, reliable, and consistent administrative and client services support to multiple team members
Manage calendars, correspondence, meeting rooms, and travel arrangements
Manage sensitive and confidential information with tact and discretion
Update, maintain, and archive electronic files, documents, tracking logs, databases, and reports
Assist Client Services with frequent event coordination
Project Support:
Edit and proof documents and presentations including contracts, design packages, agendas and meeting packages
Assist with formatting letters, fee proposals, and sub-consultant agreements
Assist Project Managers with resource management data entry
Reception Support:
Cover front desk duties during lunch breaks and vacations
Provide an extra set of hands during events and busy periods
Who you are:
A graduate of a post-secondary administrative program or related discipline is preferred
Between 3-6 years of administration or client service experience
Value collaboration, shared success, and approach challenges with solutions and thoughtfulness.
Ability to proactively make decisions and be flexible and multitask in a fast-paced environment
Excellent verbal and written communication skills
Intermediate skills in Microsoft Office programs including Word, Excel, Outlook, Teams and PowerPoint
