Description
The Chief of Staff exists to close the gap between CEO Megan Hyatt Miller's visionary output and the accomplishment of the company's goals.
Megan's highest value to Full Focus is her ability to see what the company should become, make high-quality strategic decisions, act as its primary thought leader and intellectual property steward and creator, and spread the message of Full Focus to those who need it.
For Megan to make her highest and best contribution, goal-related projects must be sequenced and planned, cross-functional coordination must happen, operational rhythms must be designed and maintained, performance must be tracked, and presentations must be prepared. Megan possesses neither passion nor proficiency in these areas. Without a competent professional to own them, they will go undone or fall on Megan to do — both of which represent a strategic risk to the business.
The Chief of Staff owns four distinct functions:
- Execution: Act as Megan's operational execution arm by doing or delegating the follow-through work she is responsible for but not suited to execute.
- Systems Design: Build and manage the systems and processes that keep the company moving toward its goals without requiring Megan's involvement.
- Advocacy: Serve as a constant, active guardian of Megan's focus — using her MAPS Index and Freedom Compass as the filter to evaluate what belongs in front of her and ensuring everything else is handled, redirected, or eliminated.
- Leadership: Lead a small team of operational specialists in finance, HR, and facilities in a player-coach capacity, maintaining direct ownership of key work while managing these functions.
Above all, the Chief of Staff owns Megan's clarity and focus. They determine what she should be working on and when, then ensure that everything outside of that is handled — through their own work, systems they build and manage, and the coordination of internal and external resources.
The goal is a CEO who knows exactly what she's responsible for this week, this month, and this quarter, and who has the freedom to focus there because the operational and logistical scaffolding is fully provided for.
This role requires a rare capacity for adaptability. Megan's personal circumstances — her health and her family — will at times require sudden course corrections. The Chief of Staff must be able to absorb those disruptions and keep the work moving without requiring Megan's compliance with rigid systems or processes. The scaffolding must flex to her reality, not the other way around.
Importantly, this role does not treat Megan's short Follow Through (Kolbe) or her frustration with Tenacity and Enablement (Working Genius) as problems to solve within her. They are fixed features of her design, not character flaws. The Chief of Staff's job is to make those gaps structurally irrelevant — building underneath her rather than asking more of her.
Requirements
1. Execution
The Chief of Staff directly executes or delegates the operational and follow-through work that Megan is accountable for but not suited to own. This includes:
- Translating Megan's strategic direction and goals into sequenced project plans with clear owners, timelines, and dependencies
- Building and delivering presentations, reports, and executive communications on Megan's behalf (including Keynote decks, board materials, and team-facing deliverables)
- Gathering, synthesizing, and presenting financial and non-financial performance data in the format and cadence Megan requires for decision-making
- Delegating projects and tasks to internal team members and external resources on Megan's behalf, and owning accountability for their completion
- Managing cross-functional coordination required for goal-related initiatives, ensuring the right people are aligned without pulling Megan into the middle of it
- Partnering with Meeka to ensure Megan's schedule reflects her priorities—the CoS determines what gets on the calendar; Meeka executes the scheduling
- Processing and evaluating incoming requests for Megan's time, attention, or involvement (particularly from Marketing and other departments) and determining the appropriate response, escalating only what genuinely requires her
2. Systems Design
The Chief of Staff builds and manages the operational infrastructure that keeps Full Focus moving toward its goals without requiring Megan's ongoing involvement. This includes:
- Designing and maintaining the company's meeting rhythms, including standardized agendas, presentation decks, cadences, and supporting materials for leadership, team, and cross-functional meetings
- Planning and executing all quarterly team gatherings and offsites, from logistics to agenda design
- Building reporting systems that deliver financial and operational performance data to Megan in a concise, decision-ready format on a predictable schedule
- Creating project management infrastructure that tracks goal-related initiatives across the company without requiring Megan to participate in the tracking
- Developing onboarding, communication, and operational processes that reduce friction and improve consistency across the team
- Ensuring all systems are designed for Megan's reality—flexible enough to absorb disruption, simple enough that her compliance is not a dependency
3. Advocacy
The Chief of Staff serves as the active, ongoing guardian of Megan's focus and highest-leverage contribution. This includes:
- Maintaining deep, current knowledge of Megan's MAPS Index, Freedom Compass, and personality profile, and using these as the primary filter for all decisions about her time and attention
- Conducting regular reviews/previews with Megan (weekly, monthly, quarterly) to ensure she has explicit clarity on what she is responsible for and what progress looks like
- Proactively identifying when Megan's calendar, task list, or commitments have drifted into her frustration zones and correcting course
- Anticipating problems, bottlenecks, and risks across the company's goal portfolio before they reach Megan, and arriving with solutions rather than problems
- Protecting Megan's constrained work schedule (approximately 30-35 hours per week) as a non-negotiable design parameter, not an obstacle to work around
4. Leadership
The Chief of Staff leads a lean team of operational specialists in a player-coach capacity, maintaining direct ownership of key deliverables while managing these functions on Megan's behalf. Direct reports include the Finance Systems Architect, the part-time Controller, the HR Contractor, and the PT Office Manager. Responsibilities include:
- Serving as the primary point of contact and accountability for each direct report, replacing Megan's 1:1 involvement with these functions
- Delegating goal-related work to these individuals and managing their deliverables with the same standard of quality and timeliness Megan would expect
- Bringing completed work, key decisions, and items requiring Megan's approval to her in a concise, recommendation-first format
- Ensuring the finance, HR, and facilities functions are operating at a standard that inspires confidence internally and externally—accurate, well-presented, and never a source of surprise
