Position Summary:
Under direct supervision, serves as the first point of contact for the office by performing a variety of office support tasks including greeting and directing guests, receiving packages, answering phones, and maintaining kitchen and supply areas.  Supports event planning and execution.

What You Will Do

  • Manage incoming calls, inquiries and correspondence with a friendly and professional demeanor while referring matters to the appropriate person.
  • Handle general reception duties and errands, including mail distribution.
  • Maintain inventory of office, kitchen, janitorial supplies; order new materials as needed.
  • Coordinate shipping logistics with carriers such as FedEx, UPS, and USPS.
  • Update and maintain internal staff contact lists.
  • Greet visitors in a warm, professional manner and ensure their needs are met.
  • Contribute to the smooth function of the office environment.
  • Assist with Office Management event planning and execution, including processing catering orders for group meetings, trainings, and various events.
  • Keep the office and kitchen areas organized and tidy.
  • Adhere to the PRIME Safety Program, complying with safety regulations, procedures and safe work practices.
  • Maintain a physical presence onsite and provide assistance to specific groups, managers and project management teams as needed.
  • Performs other duties as requested; duties, responsibilities and activities may change, or new ones may be assigned at any time with or without notice.
  • What You Will Need to be Successful

  • High school graduate or equivalent; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Reliable transportation for local business errands.
  • Strong interpersonal and communication skills.
  • Exceptional organizational skills, attention to detail, follow-through, and ability to prioritize and manage multiple tasks within deadlines.
  • Proficient with Microsoft Office products and ability to operate basic office equipment.
  • Flexibility, reliability, and a collaborative, teamwork-oriented approach.
