The Operations Manager supports the mission of the Harriett Buhai Center for Family Law by leading all administrative and operational functions of the organization. Reporting directly to the Executive Director, this role oversees day-to-day operations and serves as the primary liaison with external accounting, HR, and IT consultants. The OM is a key member of the leadership team and plays a central role in administration, finance, HR, facilities, and technology management.

Requirements

Organizational Leadership

  • Serve as a key member of the leadership team, supporting strategic planning and execution of the Center’s mission
  • Promote and uphold organizational policies, procedures, and values
  • Support the Center’s culture of philanthropy, including participation in fundraising efforts and events

Operations & Administration

  • Oversee office operations, including facilities, equipment, supplies, parking, and building safety
  • Manage administrative calendars, deadlines, and recurring operational tasks
  • Ensure daily coverage of reception, main phone line, and mail distribution
  • Coordinate building maintenance, repairs, and vendor relationships

Human Resources & Payroll

  • Coordinate payroll, benefits, onboarding, and offboarding with external accounting and HR consultants
  • Review employee timesheets and ensure accurate payroll processing
  • Maintain confidential personnel records and support audits and compliance reviews
  • Track employee schedules, leave, and in-office presence

Finance & Compliance

  • Coordinate with the accounting firm on financial reporting, audits, tax filings, and budget tracking
  • Oversee accounts payable and receivable, petty cash, and bank reconciliations
  • Support grant reporting and financial documentation for funders

Technology & Data Security

  • Serve as the primary liaison with IT consultants and software vendors
  • Oversee purchasing and inventory of hardware and software
  • Ensure data security, compliance, and staff training on technology systems
  • Support troubleshooting and staff technology needs

Personnel Management

  • Supervise and mentor administrative staff, including recruitment, training, and performance evaluations
  • Foster a collaborative, inclusive, and supportive team environment

Qualifications & Skills

  • Proven experience in operations, administration, or office management
  • Strong knowledge of HR, payroll, and financial coordination
  • Excellent organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities and meet deadlines
  • Experience working with external vendors and consultants
  • Commitment to equity, inclusion, and the mission of a nonprofit organization

Benefits

Position: Full-time, Exempt

Salary and Benefits: $65,000-80,000 commensurate with experience. Benefits include: medical, dental, and vision insurance; voluntary employee retirement plan; paid vacation and holiday leave; professional development opportunities.

Location: Office in Los Angeles/Koreatown; the Buhai Center currently operates under a hybrid in-office/work-from-home policy, determined by the needs of the organization and the requirements of the position.
