The Facilities & Operations Support Associate supports the daily operational needs of a healthcare facility by managing shipping and receiving, inventory control, internal deliveries, errands, and light maintenance. This role helps ensure a safe, organized, and efficient environment that supports patient care, clinical teams, and administrative operations.

Key Responsibilities

Shipping & Receiving

  • Receive, inspect, and document incoming medical and non-medical supplies
  • Prepare and ship outgoing packages in compliance with organizational procedures
  • Coordinate deliveries with vendors, couriers, and internal departments
  • Maintain clean, organized, and secure storage areas in accordance with healthcare standards

Inventory Control 

  • Track inventory levels for medical, clinical, hospitality and office supplies
  • Stock and replenish supplies throughout clinical and non-clinical areas
  • Perform routine inventory counts and report shortages or discrepancies
  • Ensure proper storage, labeling, and rotation of supplies in compliance with safety and infection-control guidelines

Runner / Internal Deliveries

  • Transport supplies, equipment, documents, and materials between departments and off site locations
  • Support clinical staff with timely delivery of requested items
  • Run approved local errands related to facility operations and patient-care support

Facilities & Light Maintenance

  • Perform light maintenance tasks (e.g., changing light bulbs, assembling furniture, minor non-clinical repairs)
  • Assist with room setups, office moves, and equipment staging
  • Identify and report facility or safety concerns to appropriate departments
  • Support cleanliness, organization, and readiness of workspaces and storage areas

Compliance & Safety

  • Follow HIPAA, OSHA, infection-control, and safety protocols at all times
  • Maintain confidentiality when handling materials in clinical areas
  • Use proper personal protective equipment (PPE) as required
  • Support emergency preparedness and operational readiness as needed

Requirements

  • High school diploma or equivalent required
  • Experience in healthcare facilities, hospital operations, shipping/receiving, or inventory preferred
  • Ability to lift up to 35 lbs and perform physical tasks safely
  • Basic computer skills for inventory tracking and communication
  • Valid driver’s license and clean driving record (if position includes errands)
  • Ability to pass background check, health screening, and required vaccinations per healthcare regulations
