About the Role:
We are seeking a highly organized and detail-driven Equipment & Materials Coordinator to support project execution across a portfolio of active construction projects. In this role, you will coordinate equipment, materials, compliance, and administrative processes to ensure projects remain on schedule, within budget, and fully supported.
As the Equipment & Materials Coordinator, you will work closely with Operations, Project Managers, Accounting, vendors, and our field teams to manage supplier accounts, invoicing, submittals, equipment readiness, and regulatory requirements. You’ll play a key role in cost control, long-lead material coordination, and project closeout support.

Job Duties:
- You will coordinate equipment, materials, and vendor support to ensure projects are delivered on schedule, within budget, and in compliance with company standards.
- You will collaborate closely with Project Managers, Foremen, and field teams to ensure materials and equipment are ordered, delivered, and available to support project schedules.
- You will oversee equipment, fleet, and vehicle compliance, including DMV registrations, emissions programs, Clean Truck Check (CTC), CARB DOORS certifications, ITS-PG&E pre-qualifications, and required regulatory training.
- You will process, review, and cost-code project invoices, working closely with Accounting to maintain accurate and timely project cost tracking.
- You will manage supplier and vendor accounts, including account setup, pricing coordination, and ongoing vendor relationships.
- You will coordinate equipment and material rentals, monitor rental usage, and support cost control through rate comparisons and budget awareness.
- You will review and verify material and supplier submittals to ensure compliance with company standards, plans, and specifications prior to distribution.
- You will communicate long-lead material items and procurement timelines to project teams to support effective planning and scheduling.
- You will support project closeout by obtaining warranty documentation and coordinating as-built drawings and required closeout materials.
- You will assist estimating and pre-construction efforts by providing updated material and equipment pricing and supporting new bid opportunities.
- You will act as a Project Manager on an as-needed basis to support operational continuity.
Requirements
Professional Skills:
- Experience coordinating equipment, materials, or resources within a project-driven or operational environment
- Ability to manage documentation and certifications across assets or projects
- Experience working with vendors and service providers, including account coordination and procurement documentation
- Understanding of cost awareness principles, including budget tracking, cost comparisons, and expense control. Prior experience with accounting and budgeting preferred but not required
- Familiarity with reviewing and organizing technical or project documentation to ensure alignment with established standards and requirements
- Proficiency with common business, accounting, and document management software, including Google Workspace.
- Strong communication and coordination skills, with the ability to work effectively across teams and with external partners
- Willingness and ability to complete required training related to safety, compliance, and operational procedures

A typical hiring range for this position is $30 - $35 USD per hour with the final offer based on your qualifications, job-related skills, and relevant experience.
