About the Department

THIS POSITION WILL BE A TEMPORARY GRANT ASSIGNMENT.

Under supervision to perform a wide variety of clerical duties including tracking and assisting with senior meal program. Clerical and office support duties of moderate difficulty. Position will have public contact both in person and by telephone and will be responsible for general clerical duties which include filling, data entry, preparing and processing documents; maintain, assemble files and/or distribute a variety of documents such as reports, correspondence, permits, applications, plan, specifications and records and performs related duties as required.

Position Duties

Example of duties may include, but are not limited to: receiving and screening visitors; directs visitors to appropriate locations; responding to requests for information from the general public, or other internal departments, and employees; tracking and assisting with senior meal program; answers routine questions: performs various clerical duties; utilizes office equipment; screens incoming calls, distributes mail; makes photocopies; scans and files documents; enters and compiles data for routine reports; may receive, sort, and distribute a variety of correspondence, records, and information to appropriate personnel and the general public; processes a variety of forms and documents using established procedures: accepts payment of fees; may assist with department’s payroll and accounts payable; maintains and processes cash records; and  performs related duties as assigned.

Minimum Qualifications

EMPLOYMENT GUIDELINES


Knowledge of:

  English usage, spelling, grammar and punctuation;

  Filing and recordkeeping procedures;

  Receptionist and telephone techniques;

  Modern office equipment and procedures;

  Basic mathematical concepts;

  Customer service principle;

  Appropriate safety precautions and procedures.


Ability to:

  Use computers and related software applications;

  Filing and recordkeeping;

  Provide customer service;

  Read and write at the level required for successful job performance;

  Record simple information accurately and legibly;

  Understand and follow written and verbal instructions;

  Perform clerical functions;

  Establish and maintain effective working relationships with those contacted in the course of work.


Education/Experience/Training: Any combination of education, experience, and/or training that would likely provide the necessary knowledge, skills and abilities is qualifying.  A typical way to obtain the knowledge, skills and abilities would be completion of the twelfth grade or GED or equivalency.  Bi-Lingual (English/Spanish) preferred.


LICENSE REQUIRED

Possession of a valid and appropriate California Driver's License.


PHYSICAL DEMANDS AND WORKING CONDITIONS

Strength:  Light work - Lifting, carrying or pulling up to approximately 25 pounds;

May have irregular working schedule;

May require travel in the local area.
