The Role…

As Personal Assistant you will be responsible for providing professional pro-active and confidential support on a day-to-day basis to the Chief Finance Officer. Liaising with internal and external stakeholders you will become a key member of the team. The ideal candidate will have extensive experience of providing administrative support at executive level. You will be able to act autonomously and use your initiative to prioritise workload with ever changing needs.

In this role, efficient organisational skills are a must, you will be managing high level diaries, preparing for company meetings, taking minutes, inbox management, travel arrangements and more. The Personal Assistant will possess excellent communication skills and interpersonal skills being able to work with a range of stakeholders and the rest of the C-Suite and Finance leadership team..

Main Duties…

  • Meeting co-ordination – maintain & manage the executive schedules. Arrange meetings both internally & externally on a local & global level across time zones, including conference calls & Zoom calls etc. Planning, research & preparation of documents in advance for meetings.
  • Communication for the CFO – understanding the CFO’s tone and being able to write and edit emails, features, speech notes, memos, newsletter copy for and from him. Monitor inbox & respond to emails on behalf of executive.
  • Events – organising & taking responsibility for any offsite meetings/conferences for the wider team who report into the CFO.
  • Projects – supporting the CFO and Finance leadership team on various projects retaining to finance, keeping them updated on the status of projects. Tracking the project deliverable’s & matching them with agreed deadlines.
  • Travel – organise all international and local travel arrangements for the team, including visa requirements, where necessary. Manage the team travel budget including timely reporting
  • Management of Stakeholders - building positive relationships with key internal stakeholders both locally & globally.
  • Recruitment & Onboarding - liaising with the Soho House Recruiter for placement of key Finance roles & co-ordinating their onboarding
  • Cost control & processes – continuously assessing working methods and processes, striving for efficient & transparent work flow for the CFO.
  • Executive admin – processing expenses for the executives in a timely manner & manage any personal work requests
  • Ad hoc projects as and when.

Requirements/ Qualifications:

  • 5+ years experience of being a PA – organising meetings, inboxes and international travel should be second nature
  • Relentless attention to detail
  • Experience of managing Senior Executives
  • Digitally savvy and understand best practises
  • Very proficient in Microsoft Office – particularly Excel and Word
  • A track record of delivering projects on time and to budget
  • Incredibly organised
  • Experienced in managing projects and events
  • Driven to get things done without being pushed
  • Writing – articulate, intelligent writer with excellent spelling and grammar
  • Confidentiality – used to dealing with highly confidential matters such as company salaries, people issues and structures as well as dealing with high profile members
