Job Title: EMR SYSTEMS COORDINATOR

Location: Paris

Reports To: Administrative Coordinator

Position Summary:

We are seeking a detail-oriented and highly organized EMR Systems Coordinator to manage and maintain all client records in compliance with Agency standards, regulatory requirements, and billing processes. This position plays a vital role in ensuring accurate documentation, supporting clinical and administrative teams and promoting seamless communication across service lines.   

  

Key Responsibilities:

  • Record Management: Set up and manage client information within the Agency’s electronic medical record (EMR) system, including payer source, referrals, required visits and other essential data in accordance with established guidelines. Scan all forms into the EMR system and assist supervisors and nursing staff with document management.  
  • Compliance and Survey Preparation: Assist staff in preparing for various surveys. Track prior authorizations for compliance, track orders for provider signature, obtain signed orders, and enter into EMR system. Verify all insurance payers. Ensure documents containing PHI and ePHI are properly safeguarded and destroyed per Agency policy and report any privacy violations to the Nursing Supervisor and Compliance Officer. 
  • Meeting Support: Prepare necessary documentation for bi-weekly IDT and IDG meetings. Attend meetings, take notes and obtain weekly task list for follow-up.  
  • Teamwork: Work closely with supervisor and nursing team. Act as back-up to team members as needed.      
  • Scheduling & Communication: Schedule clinical visits as needed. Maintain and update weekly client list for service lines.      Communicate with hospitals and/or in-patient facilities on admitted clients, and report to nursing staff weekly. 
  • Organization: Ensure documentation and reports are complete and turned in timely. Be able to track multiple referral sources at one time. 
  • Professional Conduct: Maintain a positive, professional attitude and project a caring image. Establish and maintain professional relationships with all internal staff and external partners. 
  • Professional Development: Attend required training sessions to maintain up-to-date knowledge and skills.
  • Technology Use: Utilize applications as required for recordkeeping and communication.
  • Other Duties: Perform additional responsibilities as assigned by supervisors or management to  meet the needs of the team.

Requirements

  • Minimum of a High School Diploma or equivalent.
  • Knowledge of medical terminology.
  • Exceptional verbal and written communication skills.
  • Excellent organization skills.
  • Proficient computer skills including experience with MS Word and Excel.
  • Valid driver's license.
  • Must pass required background checks, and drug screening.
