Position Summary
The Training, Safety & Quality Coordinator provides direct support to the Director of Safety and Training in the administration, development, and execution of companywide training programs, safety initiatives, and Quality Management System (QMS) compliance activities. This role is integral in maintaining alignment with OSHA requirements, API Q1 10th Edition, ISO 9001:2015, and internal organizational standards.
Key Responsibilities
A. Training Support & E-Learning Development
- Assist in designing and developing e-learning modules, videos, and job aids.
- Draft storyboards and scripts based on SME or Director guidance.
- Perform basic video editing and content formatting.
- Build and test modules in Adobe Captivate or other e-learning tools.
- Maintain organized training assets, file structures, and naming conventions.
- Upload, test, and verify course functionality in Adobe Learning Manager.
- Assist with new hire onboarding setup and training assignments.
- Track training completions and follow up with branches when needed.
B. Safety Program Administration
- Assist in the creation weekly safety topics and ensure timely distribution to Branch Managers.
- Track branch compliance with safety meetings and topic reviews.
- Assist in maintaining OSHA-required records, logs, posters, and documentation.
- Coordinate safety equipment requests and maintain inventory lists.
- Draft preliminary incident reports and help track corrective actions.
C. Quality Management System (API Q1 & ISO 9001) Support
- Maintain document control, revision tracking, and controlled form libraries.
- Draft updates to procedures and work instructions as directed.
- Track nonconformance reports, corrective actions, preventive actions, and internal audit findings.
- Help schedule internal audits and prepare audit evidence.
- Maintain QMS training records and ensure required documents are filed correctly.
- Support preparation for Management Reviews and external audits.
D. Administrative & Reporting Duties
- Prepare presentations, checklists, and meeting materials.
- Track key deadlines, document requests, and training or audit schedules.
- Help coordinate filming schedules, meetings, or training events.
E. Branch & Field Support
- Conduct basic onsite assessments under Director guidance.
- Follow up with managers on open action items or compliance tasks.
- Deliver onsite or virtual training for foundational topics when assigned.
- Assist during audits or inspections with evidence gathering and documentation.
Requirements
Minimum Qualifications
- Experience in training, safety, quality, or operations preferred.
- Strong computer skills (Microsoft Office, especially Excel & PowerPoint).
- Comfortable learning new systems (Adobe Learning Manager, Captivate, etc.).
- Strong writing, formatting, and organizational skills.
- Ability to work with fast-changing priorities and multiple deadlines.
- Good communication and follow-up skills with all levels of the company.
Preferred Qualifications
- Experience with OSHA, ISO 9001, API standards, or QMS systems.
- Experience in e-learning development (Captivate, Articulate, Camtasia, etc.).
- Experience in manufacturing or distribution.
- Experience in document control or audit support.
