Job Description:
The purpose of this role is to provide high-level administrative support to five directors within the Global Pet Nutrition Marketing team based in UK and US. This role demands exceptional organisational skills, sound judgment, and a solutions-oriented approach to handle any challenges that may arise. The successful candidate will work effectively with senior leaders and peers across multiple locations and must be comfortable with on-site Paddington office work base 5 days. The position reports directly to the Global Executive Administration for Pet Nutrition Effectiveness Manager, ensuring aligned and seamless support to the team.
Provide comprehensive administrative assistance to five Directors within the Global marketing team in Pet Nutrition:
Plan and execute domestic and international travel arrangements, including transportation and accommodation, ensuring all necessary visas and travel documents are secured through the company's travel agent. Attention to detail is essential for timely and accurate arrangements.
Organize and process travel expenses promptly, using Concur and Mobilexpense tools.
Raise purchase orders using Ariba and ensure suppliers are paid on time.
Coordinate and book meeting rooms for internal and external events.
Collaborate with the EA of Head of Marketing to support global event planning.
Provide holiday cover for the other Executive Assistant in the Marketing team, ensuring continued operational support.
Actively participate in the Global team of Executive Assistants, sharing best practices and implementing efficient strategies within the team.

Education & Professional Qualification / Knowledge/Experience
Candidates are required to have functional/technical proficiency in Microsoft Office & Outlook. In addition, expertise in using conference call technology, MS Teams, Sharepoint, Mobilexpense and/or Ariba, Concur would be beneficial.
Previous experience in large, global FMCG, matrixed organisation would be beneficial.
Previous experience of providing executive administrative support and co-ordinating events is essential, ideally working with / for multiple senior leaders / international associates.
This role requires a high degree of independence and motivation to prioritise workload as well as the resilience and ability to manage at very high pace while remaining calm under pressure.
The candidate must be an excellent communicator both written and verbally and have a desire to proactively make continuous improvements.
