Description
The Purchasing Specialist is responsible for maintaining the Enterprise Vendor Database, processing all new vendor setup requests for all entities, supporting all business channels’ requests to locate information regarding current and/or potential vendors in their region.
Essential Functions:
- Perform all work in a timely fashion by prioritizing requests based on direction from his/her manager.
- Obtain copies of vendor licenses, vendor packets, insurances, and tax information.
- Keeping vendor documents updated and gathering updated documentation as necessary.
- Submit documentation for review/approval and for finalization to accounting.
- Maintain an accurate list of current vendors, update vendors who will no longer be in use and add new vendors.
- Add new vendors and their documentation to internal systems.
- Keep track of upcoming documentation expiration and contact vendors for updated licenses or contracts.
- Categorize vendors based on services provided, line of business they support, etc.
- Perform a frequent vendor audit to determine if we still work with a specific vendor, or still need the services of a specific vendor, as well as double checking the licensing of vendors.
- Partner with field personnel for SOPS and best practices in vendor management
- Partner with AP to provide guidance to field in terms of goods and services available in their regions
- Other related duties as assigned.
Qualifications
- 1 year of experience in purchasing or operations support.
- Ability to read and interpret Insurance Certificates
- Familiarity with sourcing and vendor management
- Strong communication skills
- Strong organizational skills
- Computer skills are essential, with an emphasis on Microsoft Outlook & Excel
