Maintenance Planner/Command Center Coordinator Basic Function – As the Lead, you will perform the duties of a coordinator, as well as oversee the team and Command Center operations, train and mentor team members, manage schedule and balance vacation/holiday and call outs to ensure 24/7/365 minimum coverage, and act as the primary escalation point during critical events. You will manage preventive maintenance planning, emergency coordination, and ensure compliance with FDNY fire safety regulations (F-53 and S-95). This role requires strong leadership, technical expertise, and rapid decision-making in a 24/7 environment. The Lead will also lead day to day coordination with Fire/Life Safety Testing and Inspection Teams under ASG’s supervision.
The Lead will manage the full lifecycle of maintenance work—from preventive maintenance (PM) scheduling to corrective and emergency response planning—while ensuring adherence to FDNY fire safety regulations and NYC Fire Code. You will operate out of the Command Center, serving as the central hub for maintenance and emergency operations, utilizing Maximo CMMS and ATLAS mobile platform to ensure all work is planned, scheduled, documented, and completed efficiently, safely, and in compliance with regulatory standards.
Major Duties and Responsibilities: - Leadership & Oversight
- Responsible for managing the schedule and staff to ensure 24/7/365 operations center coverage with the team. This includes being “on-call” during off shift hours to address and fill call outs and emergencies as required.
- Supervise Command Center operations and ensure adherence to standard operating procedures.
- Mentor and guide coordinators and planners on scheduling and emergency protocols.
- Responsible for all aspects of employee management, including time off approval, performance evaluations and corrections, and team development to ensure optimal performance and compliance with company policies.
- Act as escalation point of contact for critical maintenance issues and emergency events.
- Coordinate and supervise the schedules and activities of the command center staff to contract and company requirements.
- Drive process improvements and ensure KPI performance.

- Maintenance Planning & Scheduling
- Develop and manage preventive maintenance schedules using Maximo CMMS.
- Review and approve job plans for accuracy and compliance.
- Prioritize work backlog based on asset criticality and operational impact.
- Communication & Coordination
- Serve as primary liaison between client, technicians, and operational teams.
- Issue clear notifications for planned shutdowns and emergency repairs.
- Provide after-hours updates and coordination for operational impacts.
- Interface with Prime O&M Contractor, Airline, Airport, and Vendor contacts associated with the control center and fire systems scope.
- Command Center Operations
- Lead real-time monitoring and coordination of maintenance activities.
- Ensure timely technician dispatch and escalation communications.
- Maintain accurate log of calls, work orders, and emergency events.
- Ensure adherence to life-safety communication standards during emergencies.
- Monitor the Fire Alarm Panel to address, diagnose and dispatch resources to rectify issues.
- Regulatory Compliance & Reporting
- Generate KPI reports and support customers, company, and regulatory compliance audits.
- Monitor inventory and staff availability for planned work execution.
- This role requires compliance with FDNY Certificate of Fitness (COF). Maintain and ensure compliance across staff.
- The F-53 COF is the Emergency One-Way Voice Announcement required for personnel supervising fire alarm systems with one-way emergency voice communication. https://www.nyc.gov/site/fdny/business/all-certifications/cof-f53.page
- The S-95 COF is the Supervision of Fire Alarm systems required for buildings with FDNY approved fire alarm systems without voice communication. https://www.nyc.gov/site/fdny/business/all-certifications/cof-s95.page
Secondary Functions:
- Report any issues found that could potentially lead to additional system failures.
- Comply with company safety program and trainings.
- Perform other related duties as assigned or needed.
Qualifications
Needed Skills:
- Technical understanding of Fire Alarm, Fire Protection, HVAC, electrical, plumbing, and building automation systems (a plus).
- Proven ability to lead in high-pressure environments.
- Proficient with Microsoft Office Suite (Excel, Outlook, Word) and mobile CMMS applications.
- Ability to work independently and make decisions in a 24/7 environment with minimal supervision.
- Coverage required for all shifts (day, evening, overnight), including weekends and holidays.
- Ability to read and comprehend complicated materials and instructions (English) and be able to communicate both verbally and in writing (English).
- Ability to create and maintain productive relationships with employees, clients, and vendors.
- In possession of appropriate paperwork to gain and maintain employment in the US.
- Ability to meet worksite security and safety requirements.
Education/Experience Minimum:
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
- Possess and maintain the FDNY Certificates of Fitness (F-53 AND S-95) or obtain within 90 days of employment. The company will cover all associated costs for training, testing, and certification.
- 5+ years of maintenance planning, facilities operations, or dispatch experience.
- 3+ years of supervisory experience managing multiple team members in facilities or maintenance operations.
- Experience with Command Center/Call Center or centralized maintenance operations preferred.
- Proficiency with Computerized Maintenance Management Systems (CMMS) required: familiarity with Maximo and/or ATLAS mobile preferred.
- Experience working in a high-volume, fast-paced large commercial environment.
- Ability and willingness to work rotating shifts, including nights, weekends, and holidays.
- Excellent communication, multitasking, and organizational skills.
- Strong problem-solving skills, especially under time-sensitive conditions.
- Ability to interpret maintenance schedules, work plans, SOPs, and technical documentation.
- Ability to write effectively in the preparation of reports and forms (Email)
- Knowledge of Airport equipment is a plus.
