We have an immediate need for a reliable and qualified individual to join our team as a Clinical Coordinator at our Ambulatory Surgery Center in South Austin, TX.

Responsibilities

  •  Coordinate and schedule all surgical procedures. 
  • Ensure that all necessary pre-operative testing and evaluations are completed. 
  • Coordinate and communicate with surgical team. 
  • Manage pre-operative patient education and preparation, including pre-operative instructions and medication management. 
  • Prepare surgical consent forms and other necessary documents. 
  • Ensure that all necessary surgical equipment and supplies are available and properly prepared. 
  • Communicate with patients and families about their surgical procedures and post operative care, including follow-up appointment and rehabilitation. 
  • Ensure that all necessary documentation and medical records are completed and filed accurately. 
  • Collaborate with insurance companies and healthcare providers to ensure that all necessary authorizations and payments are completed on time. 
  • Demonstrate the ability to prioritize and multi-task, operate multiple web-based systems simultaneously, access and comprehend information, and perform data entry with a high level of accuracy. 
  • Create, update and access confidential client data in company Electronic Health Record with a high level of confidentiality and accuracy. 
  • Interacts with coworkers to build productive and collaborative relationships to support the achievement of clinic and departmental goals. 
  • Notifies supervisor of crisis situations, unusual incidents, and/or on-going problems within appropriate timelines 
  • Be able to easily accept and adapt to changes in procedures, programs and/or role functions based on the needs of the company. 
  • Understands and maintains private and sensitive information within the confines of need-to-know parameters. 
  • Performs other duties as assigned to support the mission, values, and strategies of CPIhealth.
  • Reviews and approves case requests to ensure alignment with provider orders, CPT codes, and authorizations. Confirms that required H&Ps, sedation types, and pre-operative details are accurate prior to scheduling.
  • Provides backup support for Patient Care Coordinator responsibilities as needed, including but not limited to greeting and assisting patients upon arrival, facilitating appointment check-in, verifying and updating insurance and demographic information, collecting copayments and outstanding balances, routing phone calls and patient inquiries, maintaining the patient waiting area, and scanning records into the Electronic Health Record (EHR). Performs these duties in accordance with CPIhealth policies and customer service standards to ensure uninterrupted patient flow and positive patient experience.
  • Serves as the backup Clearance Coordinator for the ASC, receiving communication from clinic staff regarding needed medical clearances, contacting provider offices, sending and tracking requests, following up on outstanding clearances, and uploading documentation into both ASC and clinic EMRs. Maintains the clearance tracking Excel log and updates staff regarding clearance status.
  • Acts as a liaison between ASC and clinic staff, ensuring clear, timely communication related to case scheduling, reschedules, Rx requests, and documentation needs. Coordinates with ASC staff and schedulers regarding upcoming cases, cancellations, or urgent updates.
  • Tracks scheduling productivity and daily metrics, maintaining accuracy in case blocks, cancellations, and changes.
  • Provides cross-coverage and administrative support for front desk, patient scheduling, and clearance coordination as needed.
  • Coordinates placement of provider blocks and scheduling adjustments within the EMR systems for both ASC and clinic. 

Requirements

  • High School Diploma or equivalent required; Associate degree preferred.
  • Minimum of 3 years of experience in surgical coordination or a related field preferred. 
  • Strong knowledge of medical terminology, surgical procedures, and healthcare laws and regulations. 
  • Strong organizational, judgment, communication and analytical skills. 
  • Ability to multi-task and perform multiple priorities. 
  • Cooperative and professional behavior toward patients, peers, providers, management and visitors.
