Description

SUMMARY OF POSITION

 The accounting specialist manages financial records, ensures compliance, and performs tasks like account reconciliation, accounts payable, and accounts receivable. Works with accounting software, prepares financial reports, assists with audits, handles tax-related duties, and performs financial reporting.  Other duties may include records management, tracking expenses for specific projects, and handling invoices.  

 ESSENTIAL FUNCTIONS:  Includes, but may not be limited to, the following

MANAGE ACCOUNTS PAYABLE

  • Post all internal and external bills, ensuring timely payment, and prepare weekly AP Aging Reports.
  • Maintains the billing system, assists with collection efforts when needed, processes payments, accounts reconciliations, and prepares monthly AR Aging Reports.
  • Processes incoming payments and ensures clients pay their invoices promptly.

PERFORM ACCOUNT RECONCILIATION

  • Reconciles various accounts, including bank accounts and general ledger accounts, to ensure accuracy and identify discrepancies.
  • Verifies expenditures and ensures financial transactions are correctly classified and compliant.

FINANCIAL REPORTING

  • Prepares, analyzes, and presents financial statements such as income statements, balance sheets, and cash flow statements.
  • Maintains and organizes general ledgers, recording and reporting transactions accurately.
  • Updates financial data in databases or in the ERP System to ensure that information will be accurate and immediately available when needed.
  • Supports the month-end and year-end financial closing processes, including preparing journal entries and accruals.
  • Assists with budget preparation and forecasting processes.
  • Analyzes financial data to assess the company’s financial health, identify trends, and recommend strategies for improvement.

AUDIT SUPPORT

  • Assists with internal and external audits by providing necessary documentation and ensuring compliance with accounting standards.
  • Ensures all financial activities and reporting comply with Generally Accepted Accounting Principles (GAAP) and other relevant laws and regulations.
  • Identifies opportunities to streamline and improve finance and accounting operations, often through the use of technology, Accounting Software, and ERP (Enterprise Resource Planning) Software.

TAX PREPARATION

  • Prepares and ensures timely tax payments and distributes required IRS Forms.

OTHER DUTIES

  • Assists other members of the Accounting Department.
  • Liaises and communicates with other departments and ensures an effective interface is achieved (Operations, HR, Quality, Engineering).
  • Assist with other accounting projects.

Qualifications


MINIMUM REQUIREMENTS

  • H.S. School Diploma or GED
  • 1-3 years’ experience utilizing Microsoft Office (PowerPoint, Word, and Excel)
  • 1-3 years’ accounting experience
  • 1-3 years’ experience with ERP Systems (PLEX, SAP, etc.)
  • Completion of basic accounting or finance courses
  • Excellent communication skills, both verbal and written
  • Strong numeracy and analytical skills
  • Strong attention to detail and organizational skills
  • Good problem-solving and time management skills
  • Highly organized and detail-oriented
  • Experience with ERP Systems (PLEX) is a plus not required

 

Language Skills - Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, personnel policies, graphs, and other production documents. Ability to effectively present information and respond to questions from senior leaders, departmental managers, and directors.           

Physical Demands - While performing the duties of this Job, the employee is regularly required to stand, sit, and walk for extended periods of time. Employees must be able to stand for long periods of time. The employee is occasionally required to stoop, reach overhead, lift, and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, reading a computer screen, and small print.
