Job Title: Executive Assistant, CEO's Office

Full Time, 12-Month, Role Level 2

Reports To: Director of Strategic Engagement and CEO’s Office

Who We Are:

YouthBuild Philadelphia Charter School is a tuition-free, public charter high school, with a singular focus on supporting youth aged 17-20 who have been pushed out of traditional schools. During our 1-year alternative program, Youthbuild facilitates a warm, loving culture that uses a variety of structures to build community, such as a restorative-justice approach to discipline, weekly community meetings, and school-wide service projects. Students are empowered to attain their high school diploma and vocational certifications, while receiving unconditional support by the staff around them. The Opportunity:

YouthBuild Philadelphia Charter School is seeking a dynamic and highly organized Executive Assistant to the CEO’s Office to provide dedicated support to the CEO, Director of Strategic Engagement, and Development team. This flexible, multifaceted role combines executive administration, communications, and event coordination.

The Executive Assistant will be instrumental in driving organizational priorities, facilitating stakeholder engagement, and managing board logistics (spending approximately 50% of their time on executive administration support and 50% on communications and event-related responsibilities).

  • Basic design skills (Canva, PowerPoint, Google Suite).
  • Team-oriented, ego-free approach with willingness to “pitch in” where needed.
  • Ability to work flexible hours, including occasional evenings and weekends.
  • Alignment with YouthBuild’s mission and student-centered culture.

Requirements

What You’ll Do:

You will…

  • Support planning, logistics, and execution of board meetings, donor tours, student events, and external visits.
  • Manage event materials, signage, photography, and technology needs for all events that are developed by the Director of Strategic Engagement and the CEO’s Office.
  • Support communications and design efforts by…
  • Drafting basic communications, presentations and social media contact to support YouthBuild external communications.
  • Assisting with the design of flyers, reports, and donor-facing materials.
  • Gathering and organizing photos, videos, and testimonials to support storytelling.
  • Ensuring all communications align with brand guidelines.
  • Provide scheduling, preparation and administrative support to the CEO and Director of Strategic Engagement.
  • Assist in CEO correspondence and briefing materials ensuring confidentiality and efficiency.
  • Manage logistics for the Board of Trustees and their committees, including agendas, packets and hospitality needs.
  • Support donor and partner engagement in coordination with the Advancement Department ensuring relationship tracking through the Network for Good.
  • Handle all “day-of” needs for the CEO, partners, Board of Trustees and donors with professionalism.
  • Perform other related duties as required and assigned by the Director of Strategic Engagement and the CEO’s Office.

New YouthBuild Coordinator level staff can expect a starting salary of between $46,000 - $50,000 based on years of experience, education, and certifications, if applicable.
