Position Overview:
We are seeking an experienced Estate Administration Paralegal with 3–5 years of hands-on experience in Pennsylvania estate administration. The ideal candidate will be able to handle estate files from start to finish with minimal oversight, including probate filings, estate inventories, inheritance tax returns, and client communications.
This position offers significant flexibility — it can be full-time or part-time, and may be performed remotely, in-office, or through a hybrid arrangement. For the right candidate, this role can evolve into a leadership position overseeing our legal operations department.
Key Responsibilities:
- Manage all aspects of Pennsylvania estate administration from opening to closing.
- Prepare and file probate petitions, inventories, accountings, and Pennsylvania inheritance tax returns.
- Maintain direct communication with clients, Register of Wills offices, and financial institutions.
- Track deadlines, court filings, and estate disbursements accurately.
- Use firm software (Actionstep and related systems) to document all work.
- Coordinate with attorneys, operations staff, and outside vendors as needed.
- Ensure each client receives compassionate, timely, and professional service.
Qualifications:
- Minimum 3–5 years of Pennsylvania estate administration experience (required).
- Strong understanding of Pennsylvania probate procedures and inheritance tax law.
- Excellent attention to detail and organizational skills.
- Proficiency in Microsoft Office; familiarity with Actionstep or similar CRM preferred.
- Ability to work independently, manage deadlines, and communicate effectively with clients.
- Positive attitude, integrity, and a commitment to professional growth.
Preferred Attributes:
- Experience mentoring or leading junior paralegals or support staff.
- Desire to grow into a Legal Operations leadership role as the firm expands.
- Comfort with technology and process-based systems.
