The position hours are Monday through Thursday from 2 to 6 PM and Friday from 12 to 4 PM. Potential opportunity for occasional remote work during the summer.

The Student Health Services (SHS) mission is to provide personalized and accessible high-quality healthcare services and educational resources to support student success.  

The Office Assistant supports day-to-day operations and administrative support at Student Health Services. The office assistant maintains good working relationships between nurses, providers, and WCU students.

The ideal candidate has data entry experience in a clinic/hospital setting; is organized and detail-oriented; demonstrates experience prioritizing, multitasking, and provides superior customer service; and is eager to learn new tasks. Proficiency in Microsoft Office is essential.

 Responsibilities include:

  • Serve as the first point of contact for students, faculty, parents, and visitors
  • Respond to general inquiries via phone, email, and in person
  • Coordinate communications with parents, students, and campus partners
  • Schedule appointments through electronic medical software which includes, 
    1. Verifying eligibility and current demographics
    2. Assist patients with web portal forms
    3. Scan insurance information
  • Administer proper paperwork for special appointments
  • Facilitate patient checking in and check out 
  • Effective review and reporting of billing/charges to student accounts such as, ensuring all patients have been checked out and authorized properly; adding charges for applicable “no show” patients; modifying charges when adjustments are required
  • Prepare for daily office operations including reviewing full schedules to verify eligibility, editing appointment types/times for medical and wellness staff; rescheduling appointments when applicable; and printing schedules for clinic
  •  Create and maintain appointment availability schedule in electronic medical software 
  • Maintaining office procedures and equipment
  • Submitting electronic requisitions
  • Applying/editing payroll timesheets/leave slips
  • Sorting and distributing parcels to proper personnel
  • Copying, shredding and faxing
  • Keeping the front reception and waiting rooms tidy
  • Perform other duties as assigned

Position Duties

  • Six months as a Clerical Assistant 1 (Commonwealth title) OR
  • Graduation from high school OR
  • An equivalent combination of experience and training 
  • Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel, and Teams

Required Knowledge, Skills, and Abilities: 

  • Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation
  • Ability to use an alphanumeric keyboard
  • Ability to proofread information for conformance with prescribed standards
  • Ability to sort and file information
  • Ability to perform mathematical calculations
  • Ability to follow oral instructions
  • Ability to read and understand written materials
  • Ability to communicate effectively orally
  • Ability to communicate effectively in writing
  • Ability to establish and maintain effective working relationships

Minimum Qualifications

  • Experience in an administrative or receptionist role
  • Customer service experience
  • Excellent written and oral communication skills
