The position of Grant Accountant will play a crucial role in managing and coordinating governmental and institutional grants for our organization. The position will be responsible for managing the grant tracking process, ensuring compliance with guidelines and deadlines, reimbursement process, ensuring that requests and funding reports are submitted in a timely manner and tracking receipt of funds. This role requires excellent organizational skills, attention to detail, and the ability to effectively communicate and collaborate with internal and external stakeholders. The Grant Accountant will work as part of the Finance team, working closely with the Grant Coordinator and reporting to the CFO.

Requirements

  1. Review governmental and institutional grant funding awards and have a clear understanding of eligible expenses, spending deadlines and reporting requirements. 
  2. Assist in the grant application process, including preparing grant budgets and providing supporting documentation.
  3. Ensure compliance with grant guidelines, requirements, and deadlines.
  4. Develop and maintain relationships with grant administrators and other funding contacts.
  5. Monitor the progress of reimbursement approvals and funding report submissions and provide regular updates to stakeholders.
  6. Provide tracking of grant spending and outstanding grant reimbursements and payments.
  7. Submit reimbursement requests on the schedule required by each grant program.
  8. Track and manage grant-related documentation, including contracts, agreements, and amendments.
  9. Submit reimbursement requests and funding reports per each grantor’s schedule.
  10. Reconcile grant activity monthly to ensure expenditures align with approved budgets and restricted fund balances.
  11. Review grant income and expenses in accounting software to confirm accurate coding of grant activity to appropriate club locations.
  12. Complete all closeout requirements at the end of each grant.
  13. Conduct regular reviews of grant-funded program budgets to assess fiscal impact and identify potential issues.
  14. Stay updated on relevant industry trends, best practices, and changes in grant regulations.
  15. Prepare supporting grant documentation for annual audits and Single Audit (A-133) requirements.
  16. Attend ongoing grant related meetings with federal, state, local and institutional grantors.
  17. Attend professional development and required training specific to role-related activities.

Grant Accountant Required Skills:

  1. Strong written and verbal communication skills, with the ability to effectively communicate complex ideas and concepts.
  2. Excellent research and analytical skills, with the ability to confidently initiate questions, gather and synthesize information from various sources.
  3. Advanced organizational skills, with the ability to handle multiple projects and deadlines simultaneously.
  4. Attention to detail and high level of accuracy in preparing grant proposals and maintaining documentation.
  5. Strong interpersonal skills, with the ability to build relationships and collaborate with internal and external stakeholders.
  6. Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
  7. Proficiency in Microsoft Office Suite (particularly Excel) and QuickBooks Online.
  8. Familiarity with federal and state grant reimbursement processes. 
  9. Experience preparing financial documentation and proof of purchase for reimbursement requests.

Preferred Qualifications:

  1. Proven experience in nonprofit accounting and grant management.
  2. Familiarity with nonprofit organizations and their operations.
  3. Understanding financial reports and ability to make recommendations based on analysis.
  4. Understanding of budgeting principles as applied to grants.
  5. Ability to interpret and analyze data and present findings in a clear and concise manner.
  6. Demonstrated ability to work with diverse populations and prioritize competing demands.
  7. Strong commitment to the organization's mission and objectives.
  8. Familiarity with Paylocity payroll software and Ramp expense tracking.
