Overview
The Sales Coordinator will ensure sales processes are operating smoothly. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment. The role will be responsible for supporting the sales and marketing team with Broker Management & Support, Distributor Partnership needs, and Trade Show execution on behalf of the sales and marketing teams.
Responsibilities
Administrative Sales Support:
- Serve as the primary contact for the sales team for tasks such as samples, new item forms, retailer set-up and other ad hoc sales needs.
- Manage and maintain sales documentation, contracts, and support materials.
- Coordinate internal sample requests and external sample shipments.
- Create and maintain Sales support materials, broker and distributor contracts and other documents.
- Collaborate with Sales, Supply Chain, Demand Planning, Operations, Transportation and Finance to streamline customer interactions.
Syndicated Content:
- Stay informed on innovation and packaging renovations to proactively ensure syndicated content platforms are aligned.
- Manage and keep online syndicated content platforms up to date on Syndigo, IX-ONE, Brandbank, 1WorldSync.
- Work with sales, marketing and plant to send live samples to IX-One and Brandbank for intake.
- Upload renders to Verify My Product in Syndigo for innovation and packaging renovation.
- Manage enhanced uploads for retailers in the Syndigo Marketplace, i.e. Kroger
- Work with sales and marketing to increase ecomm content scores across key retailers – Walmart, Target, Kroger, Instacart, etc.
- Assist sales with retailer digital item creation submissions.
- Submit innovation to Nielsen so that new items can appear in Store Finder tools.
Item Management:
- Ensure all internal item information is accurate and distributed accordingly to all 32 retailer/distributor/broker portals.
- Maintain and keep accurate all data management portals: IX-One, Repositrak, 1 World Sync
- Manage Price list, Product Specs, Shelf Life, Etc. Communicate any updates to customers and broker partners.
- Communicate ingredients, spec, image changes to external partners.
- Create and distribute sales bulletins and product updates.
Pricing & Promotional Management:
- Maintain current price list internally and externally, execute and coordinate change notifications as needed.
- Maintain updated promotional planners in SharePoint sites internally/externally.
- Communicate promotional planner changes to sales/demand/finance teams.
- Execute price change communication across Red’s organization (partner with Finance and Supply Chain).
- Manage internal file storage migration from Dropbox to SharePoint
Customer/Broker Support:
- Create and maintain internal systems to ensure accurate customer information is shared across the organization.
- Ensure all Customer specific forms and certifications (Organic, Non-GMO, COI, W9, PFAS, etc.) are up to date and accurate.
- Process all required new customer forms, Finance requirements, and EDI setup.
Broker & Distributor Support:
- Ensure Broker SharePoint sites are kept up to date (Sell sheets, 1 Pagers, Ingredients, Images, etc.)
- Process all Sample Orders, Coupons, and Swag needs on behalf of Sales Team events.
- Assist with distributor reporting as needed and report results to the cross-functional teams.
- Participate in quarterly/annual planning sessions as needed.
Retailer New Product Support:
- New product shelf tracking
- Maintain new product images for sales use in presentations.
- New product samples (partner with Marketing)
- Serve as liaison between functions to ensure accurate and timely new item shipments
Requirements
Qualifications:
- Bachelor’s degree or equivalent experience
- 2+ years of experience in sales support role or a related field.
- Prior experience in a CPG company highly preferred
- Strong written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Ability to work independently and as part of a team.
