Position Summary 

The Office Manager is responsible for ensuring the efficient day to day operations of all Texas Family Care Network locations. This role will organize and coordinate administrative duties and office procedures. The ideal candidate must be able to assist and act in a confidential capacity, always communicate well with tact and project a professional image with all levels of internal personnel and external stakeholders. The office manager must create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. 

Essential Roles and Responsibilities

  1. Supports and participates in meetings and other activities internal to Texas Family Care Network. 
  2. Assists with conference rooms and training annex bookings. 
  3. Ensure office supplies are available, and office equipment is functional. Ensure proper site and equipment operation to prevent interruptions in service delivery.  
  4. Ensure that all incoming telephone calls, correspondence, faxes, etc. are received and routed to appropriate staff in a professional and timely manner. 
  5. Routes all complaints via telephone call or email to appropriate personnel. 
  6. Sorts packages, mail and ensures correct parties are notified. 
  7. Reports issues to the appropriate management personnel when issues arise at the facility. 
  8. Order company credit cards for specified staff (at the approval of the Program and Executive Directors). 
  9. Manage personal company credit card and reconcile invoices monthly. 
  10. Acts as a liaison for cleaning crews, building management (complaints and other issues/items), security system and vendors.  
  11. Ensure that the office/reception area is clean, well-organized and is professional in appearance. 
  12. Collect agency-issued equipment (employee ID badge, laptop, cell phone, keys, credit card) on staff last day. 
  13. Assists the Directors/Senior Directors with administrative tasks for Texas Family Care Network.  
  14. Order business cards for new and current staff as needed.  
  15. Cover other office support duties as needed, backing up front desk activities; providing coverage to other Texas Family Care Network locations as requested.  

    Essential Qualifications

    1. Education/Credentials/Licensure:  

      1. High school diploma or equivalent required.  
      2. Valid state driver’s license, safe driving record, and current auto insurance. 

    2. Experience: 

        1. Two (2) years of experience in office management or clerical experience.  
        2. Experience with Microsoft Office systems. 

      3. Clearances:  

        1. State Police 
        2. FBI 
        3. Child Abuse Clearances 
        4. CPSL Mandated Reporter-Recognizing and Reporting Child Abuse training per state regulation. 

      Working Conditions

      1. Physical Demands: This position requires a low to moderate level of physical activity. Sitting for long periods of time. Employee must meet minimum requirements for hearing, speech, and vision.
      2. Environmental: Office environment; travel to other Texas Family Care Network locations.
      3. Working Hours: Monday-Friday
