Hours of Work: Monday – Friday 8:00am to 5:00pm.

Salary and Benefits: This is a full-time, benefited Professional 2 level position. Starting salary range: $49,200.00 - $55,616.00/annually, depending upon experience.

JOB SUMMARY

The Coordinator, Business Operations is a full-time, benefited position, with core responsibilities of providing administrative and technical support for the Integrated Technology Services (ITS) Division and its associated departments. This role ensures timely and accurate communication, purchasing, planning, inventory tracking of assets that contain data, and coordination support for all division-wide activities for ITS. The position supports the Chief Information Officer (CIO) with budgetary tracking, purchasing, preparation support, and travel logistics. This role manages technology and software purchases campus-wide and serves as a key front-facing contact for internal and external customers and stakeholders of the ITS Division at LCCC. The successful candidate must demonstrate exceptional multitasking abilities, a high aptitude for technology, and the ability to leverage advanced tools including artificial intelligence to create efficiencies. Attention to detail and timely completion of tasks are essential. Outstanding customer service skills and the ability to gather and document requirements for ITS projects are critical to success in this role.

Position Duties

  1. 40% of time – Deliver high-quality administrative support to the ITS division while ensuring excellent customer service and operational efficiency.
    • Provide organizational and logistical administrative support to the CIO and ITS Team as the first point of contact with internal and external customers while organizing meetings, internal and external communication, taking meeting notes using tools such AI to create efficiencies, identifying outcomes and action items of the meetings.
    • Maintain and coordinate calendars for the CIO to ensure efficient scheduling.
    • Organize travel logistics and itineraries for the CIO to ensure efficient business travel.
    • Demonstrate exceptional multitasking abilities, efficiently managing concurrent administrative, technical, and customer service tasks in a dynamic environment.
    • Provide high-quality customer service to all internal and external customers conducting business with ITS by prioritizing customer needs, gathering relevant information, and efficiently notifying the relevant divisional employees to best serve those customers’ needs. 
    • Schedule meetings, trainings, and appointments with internal and external stakeholders when needed to support ITS workflow.
    • Leverage advanced technology tools, including artificial intelligence, streamline processes, automate routine tasks, and enhance operational efficiency across the ITS division.
    • Perform data entry tasks in support of divisional needs and maintain accurate spreadsheets and digital files to ensure timely routing of documents to personnel.
    • Ensure organization of ITS documentation to support divisional workflow and ease of retrieval of essential work documentation.
    • Serve as the primary keeper of divisional meeting agendas and minutes to support internal ITS meetings and external meetings for ITS.


  1. 30% of time – Provide purchasing, processing, and inventory support for the ITS department by managing procurement requests, tracking orders, and maintaining accurate inventory records.
    • Manage technology and software purchases, ensuring compliance with required approvals and documentation for institutional technology purchasing through ITS.
    • Ensure all purchases are accurate and in compliance with procurement procedures.
    • Oversee the check-in process for technology products upon arrival, coordinate procurement with external receiving departments, and support technology inventory processes as needed.
    • Serve as the liaison for printer maintenance and services across campus to ensure efficient workflow.
    • Maintain working relationships with vendors.
    • Track all technology resources utilizing an internal tracking tag.


  1. 15% of time – Provide budgetary support by monitoring expenses, preparing financial reports, and assisting with budget planning and reconciliation for ITS.
    • Assist in the preparation and management of fiscal year budgets for the CIO.
    • Manage campus-wide STF/TIF budgets.


  1. 15% of time – Establish and maintain the ITS Virtual Office as a central, reliable resource for campus-wide IT information.
    • Lead the development, ongoing enhancement, and adoption of the ITS Virtual Office using SharePoint, ensuring intuitive navigation and accessibility.
    • Create and curate content that supports clear, consistent communication between ITS and the campus community.
    • Collaborate with each IT department to ensure their respective areas are accurately represented and regularly updated.
    • Effectively gathers and documents requirements for ITS projects, ensuring clear understanding and alignment with stakeholder expectations.

Minimum Qualifications

Minimum Qualifications:

  • Associate degree from an accredited institution in business, communications, or related field of study orin lieu of the educational requirement, three years of experience in a professional environment as an administrative assistant may be substituted for an earned degree.
  • Two years of experience working in a customer/client service and support role.
  • Two years of experience with an intermediate skill level using Microsoft Applications (Word, Excel, and Outlook).
  • Two years of experience with administrative support.


*In lieu of the required degree, candidates with equivalent professional experience, industry certifications, or a combination of education and relevant work experience may be considered.?


Preferred Qualifications:

  • Bachelor’s degree from an accredited institution in business, communications, or related field of study.
  • Work experience with information technology.

Knowledge

  • Advanced working knowledge and ability with Microsoft Office Suite (e.g., Word, Excel, Outlook, and PowerPoint), Adobe products (e.g., Reader, Professional). 
  • Knowledge of basic office equipment, including (but not limited to) personal computers and associated peripherals, multi-function printer/copiers, and other electronic devices.

  • Ability to respond to common inquiries from college faculty and staff, regulatory agencies, vendors, regional business community, and others as may be necessary.
  • Demonstrated ability to multitask and prioritize in a fast-paced environment.
