The full-time Inventory Logistics Administrator is responsible for processing invoices, tracking inventory products, performing physical inventory counts and will be responsible for inventory system maintenance and data control. This position will also provide financial reporting related to inventory products. This position will work closely with the Purchasing & Inventory Logistics Manager and Keeneland Hospitality staff to ensure that all inventory products are accounted for and available for operation.  This position has supervisory responsibilities during certain parts of the year.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  • Process invoices in the inventory system while ensuring product pricing and quantity accuracy.
  • Maintain inventory system. Perform item maintenance and data clean-up on a regular basis. 
  • Perform physical inventory counts and item data input monthly. Ensure accurate inventory valuations.
  • Prepare inventory locations for physical counts and organize products in correct locations for efficient physical counts. 
  • Oversee tracking/movement of all inventory products. 
  • Maintains proper inventory par levels for all products based on needs and business projections.    
  • Develop new processes for all inventory functions to improve accuracies and efficiencies for product movement, invoicing, and transfers. 
  • Provide financial reporting regarding inventory levels, variances, locations, etc. 
  • Assist the department with receiving and movement of all inventory products, when needed. 
  • Develop preparation & logistic plans for different locations. 
  • Supervise 5-10 seasonal employees during race meet seasons and various other times of the year.  
  • Other duties as assigned. 

 

 

QUALIFICATIONS

  • Associate or bachelor’s degree in business, preferred.
  • Must have five or more years of experience in food service and/or purchasing/receiving to be considered.
  • Experience with an inventory/purchasing software platform, preferred.  

 

SCHEDULE

Must be able to work a flexible schedule, as needed. Schedule can also vary during racing and sale seasons.

 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write short correspondence, and memos.    Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

COMPUTER SKILLS

Proficient computers skills are required to accommodate all reporting and correspondence.  Knowledge of Microsoft Word, Excel, and Power Point is a plus.  Individual should possess the ability to type and communicate in a professional manner and be familiar with the use of applicable office equipment.

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.   Ability to compute rate, ratio, and percent.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations. Ability to communicate with customers in a professional and courteous manner.

 

PHYSICAL DEMANDS 

Ability to lift/move food and beverage items, up to 75 pounds, is preferred.  These activities are needed to move items from the loading dock to the appropriate storage location and between storage locations.  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
