Essential Duties and Responsibilities:
- Interact with internal and external clients, consultants and colleagues in a productive and professional manner
- Support team members in a manner which aligns with organizational and project goals and objectives
- Perform administrative duties as requested by the Vice President of Administration
- Handle and maintain confidential material with discretion and maintain confidence
- Maintain personnel files in accordance with established guidelines
- Develop and implement innovative sourcing strategies to attract qualified candidates for various roles, including field supervision, project management, administrative and leadership positions
- Leverage job boards, social media, networking, and other channels to identify and engage with top talent
- Focus efforts to source passive candidates, focusing on building and maintaining a talent pipeline
- Screen candidates by reviewing resumes and performing initial telephone interviews
- Coordinate candidate interviews, including virtual and in-person logistics, and travel arrangements when required
- Maintain strong working relationships with candidates during and after the recruitment process, ensuring a positive experience and fostering long-term connections
- Promote ICI as an employer of choice by showcasing our culture, values, and opportunities through job postings, career events, and online presence
- Coordinate and attend career fair events
- Maintain accurate and up-to-date records of candidate information and recruitment activities in the applicant tracking system (ATS).
- Prepare and analyze recruitment metrics and reports
- Support related HR Department initiatives for recruitment, employee engagement, or retention efforts
- Coordinate and manage onboarding processes for new employees
- Track and coordinate individual benefit enrollment for newly eligible employees
- Provide employee assistance with benefit enrollment
Additional Responsibilities:
- Maintains open, responsive, and professional communication and relationships with all team members
- Prepares and completes special reports and projects at supervisor’s request. Such items may require research, development and/or interpretation of data and should be able to be performed with little supervision or instruction.
Skills and Competencies:
- Maintain a professional appearance and phone manner
- Ability to type accurately
- Flexible and adaptable team-player
- Working knowledge of Microsoft Office Suite
- Working Knowledge of BambooHR helpful
- Excellent effective time and self-management
- High attention to detail, conscientious, and able to work independently
- Accountable with a high degree of initiative
Education and Experience:
- Associate or bachelor’s degree in human resources or related experience
- 1-2 years of experience providing administrative support preferably in Human Resources or the Architecture / Engineer / Construction industry
- Valid Driver’s License required
