Key Responsibilities & Requirements:

Transportation & Operations Support

  • Assist in preparing and managing transport manifests for guest and crew movement.
  • Create and maintain transport bus grids and orders across assigned ports.
  • Coordinate meet & greet manifest information for airport, pier and hotel teams.
  • Verify reconciliation of vendor billing to actual manifests.
  • In collaboration with Transportation Manager, liaise with turnaround teams to forecast transport needs and support vendor allocations.
  • In collaboration with Transportation Manager, maintain shared Teams folders with transport, vendor and training documentation.
  • As required, support start-up operations, irregular operations and optimization efforts on-site.

Devices & Training

  • Alongside Transportation Manager, provide training and support for electronic transport devices used by port teams. This includes assisting local teams to troubleshoot device issues for operations teams.
  • Maintain device usage compliance across assigned ports.
  • Ensure all assigned transport devices remain operational, tracked, and updated in the device inventory log.
  • Alongside Transportation Manager, collaborate with IT and operations teams to implement new transport tools or updates.
  • Alongside Transportation Manager, launch new transport initiatives and system rollouts.

Data & Reporting

  • Analyze transport logs to identify trends and improve efficiency, report trends to Transportation Manager.
  • Assist Transportation Manager to track Cost Per Transfer (CPT) and assist in compiling financial packets post-transport for billing.
  • Weekly CPT dashboard reporting and variance explanation.
  • Ensure accuracy of financial packet data prior to submission.
  • Maintain accurate records of transport activity, vendor invoices, and operational data.
  • Support Transportation Manager in consistency in reporting and documentation across all ports.

Communication & Coordination

  • Act as a central contact for internal and external stakeholders regarding transport logistics assigned.
  • Coordinate with local Operations Managers to identify training needs and share best practices.
  • Escalate material service gaps or vendor performance issues through the Transportation Manager.
  • Support Transportation Manager in handling vendor relations including rate updates and contract documentation.

Safety & Compliance

  • Adhere to workplace health and safety standards.
  • Report hazards or unsafe practices promptly
  • Support sustainability and compliance with corporate HSE programs

Required Qualifications

Knowledge / Experience:

  • High School diploma or equivalent required; Associate degree preferred
  • 2–3 year’s Experience working in cruise line operations, port logistics, or transportation services
  • Experience coordinating vendors or transportation logistics for high-volume events preferred
  • Familiarity with multi-location team collaboration (virtual and in-person)

Skills:

  • Strong attention to detail and organizational skills
  • Proficiency in Excel, Google Sheets, or similar systems
  • Familiarity with cloud-based collaboration tools (Microsoft Teams, SharePoint)
  • Ability to manage multiple reporting deadlines and priorities
  • Effective communication and problem-solving abilities
  • Flexibility to adapt to changing operational needs
  • Professional demeanor and collaborative mindset
  • Integrity in all actions

 

Preferred Qualifications

Knowledge / Experience:

  • Understanding of basic accounting principles (even if not in a finance role)

 

Skills:

  • Initiative to identify and suggest process improvements.
  • Comfort working independently and taking initiative in a support role.
  • Experience maintaining organized digital records and documentation.

Physical Demands

The position may occasionally involve lifting items up to 10-50 pounds and may require travel to active work sites to meet accountability.
  • Work Environment: Work is typically performed in a clean, well-lit, and climate-controlled office environment with low to moderate noise levels. Occasional visits to field locations may be required, including active job sites with varying weather conditions and potential exposure to noise, dust, and other occupational hazards. Safety protocols and personal protective equipment (PPE) are provided and required as appropriate.

Timeline & Tasks

A detailed onboarding and performance timeline will be reviewed within the first week, including training on manifests, vendor coordination, and systems reporting.
