Job Description Summary:

Responsible for scheduling appointments and processing transfers to ensure timely transmission and ensuring the timely initiation of dental services.  This position serves as a liaison to connect patients with appropriate resources and plays a critical role in the operational workflow of the dental department.  for patient resources.

In addition to core administrative duties, this role is responsible for training newly hired dental Patient Registration Specialists (PRS) and for maintaining all related training and competency documentation. The Dental Coordinator will also support performance evaluations and provide ongoing training in areas identified for improvement. When needed, this position will function as a Patient Registration Specialist to support daily operations.

This is a full time, benefit eligible position typically working Monday - Friday 8a-5p onsite at our downtown Grand Rapids clinic.

Responsibilities:

  • Process and manage both internal and external referrals.
  • Maintain patient confidentiality in compliance with HIPAA and Cherry Health standards.
  • Generate and Work reports as directed by leadership (e.g. Referral logs, appointment tracking).,
  • Participate in data collection and reporting for leadership and grant funders, including referral processing times, patient statistics, and office productivity
  • Train new dental PRS and coordinate with billing for their training as needed and maintain training and competency records.
  • Conduct annual PRS competency checks and provide follow up training in areas of identified need.
  • Assist supervisors in addressing staff performance concerns and participating in corrective action and review processes.
  • Review Price agreements and Priors as needed.
  • Contact patients for scheduling, rescheduling and follow up
  • Answer patient phone calls, offering support and redirecting as needed.
  • Perform general administrative tasks including data entry office duties such as filing, sorting and data entry.
  • Provide language translation or interpretation services if applicable.
  • Act as a PRS during peak times or staffing shortages.
  • Travel to any Cherry Health site or related location as required. Perform other duties as assigned.

Education / Licenses / Certifications:

  • Educational Requirements:
    • Required: High School / Equivalent

Experience Required:

  • Two years’ experience in dental setting is desired
  • In lieu of the specified education and experience requirements, a proven capability to perform the essential functions of the job, as demonstrated by an equivalent combination of education, training and/or relevant work experience may be considered.
