QUALIFICATIONS
Required: High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration or related field preferred. Experience in medical scheduling, patient access, or clinic operations strongly preferred. Strong attention to detail with the ability to spot scheduling gaps and resolve them quickly. Excellent communication skills, both with patients and internal staff. Ability to multitask in a fast-paced environment while maintaining accuracy. Proficiency in electronic health record (EHR) scheduling systems. Strong organizational skills and a proactive problem-solving mindset.
TYPICAL PHYSICAL/MENTAL DEMANDS
This position requires extended periods of computer work with frequent typing and data entry, along with occasional walking, standing, and lifting up to 20 pounds. Strong attention to detail, clear communication skills, and the ability to multitask in a fast-paced environment are essential. The role requires independent judgment, adaptability to interruptions, and the ability to work both independently and as part of a team.
ESSENTIAL JOB FUNCTIONS
- Continuously monitor provider schedules across primary care clinics to identify unused, open, or underutilized appointment slots.
- Actively “scrub” schedules by pulling patients forward into earlier available slots when appropriate.
- Contact patients on waitlists or with upcoming appointments to offer earlier appointment opportunities.
- Coordinate with clinic front desk, care teams, and patient access staff to ensure timely scheduling adjustments.
- Track and report on schedule utilization, fill rates, and appointment access metrics.
- Identify patterns of scheduling inefficiency and collaborate with leadership to recommend process improvements.
- Support patient satisfaction and access to care by ensuring minimal delays in appointment availability.
- Maintain compliance with organizational scheduling policies and HIPAA regulations.
