How to be Successful in the Role: 
We are looking for flexibility, exceptional interpersonal skills, strong planning and organizational skills, as well as an adept writer for correspondence needs. Bring in your understanding of customer service and modern administrative practices along with a “can do” approach and you will thrive in this role. With your exceptional communication skills, you will be communicating in person and through a variety of electronic modes (phone, email, instant messaging, video conferencing) to assist customers and support your team. Multi-taskers, those with a high fluency in Microsoft Office Suite of programs (Word, Excel, PPT, and Outlook), and quick learners will be successful in this environment.  
 
This position is primarily in office, and through collaboration, can include some occasional remote work.

Core Daily Responsibilities: 

  • Team Leadership & Supervision

    • Supervise, train, and support Office Assistant staff; manage schedules, workflow, and performance standards.
    • Provide coaching, facilitate performance partnerships, and support professional development.
    • Represent the Office Assistant team on the Juvenile Court Leadership Team, contributing to shared alignment across the agency, strategic planning and decision-making.
    • Lead with integrity and foster team collaboration.
  • Administrative & Operational Oversight

    • Manage public records requests and records retention in compliance with applicable laws, statutes and timelines.
    • Coordinate volunteer onboarding and ensure compliance with court policies and procedures.
    • Maintain logs, spreadsheets, and databases; prepare and audit reports and records for accuracy and completeness.
    • Maintain professionalism and confidentiality of sensitive matters.
    • Manage a variety of routine to complex clerical activities, with the ability to analyze and problem solve.
  • Communication & Coordination

    • Draft internal and external communications, including policy updates and responses to inquiries.
    • Take and transcribe meeting minutes; communicate effectively with staff, leadership, and the public.
    • Serve as a resource for resolving complex administrative issues and questions.

Minimum Qualifications

MINIMUM QUALIFICATIONS

  • Four years of progressively responsible clerical experience, which includes one year of supervisory responsibility. Additional education may substitute for the required experience for a maximum of two years.
  • A valid driver's license may be required when travel is required of the position.
