Job Summary:
The Assistant Supervisor of School Transportation and Maintenance supports the overall operations of the district’s transportation and maintenance departments. This position assists in overseeing daily bus operations, driver supervision and training, safety compliance, vehicle maintenance records, and district grounds upkeep. The role ensures safe, efficient, and visually appealing district facilities while maintaining compliance with all local, state, and federal regulations.
Essential Duties and Responsibilities:
TRANSPORTATION
Bus Operations and Routine
- Drive a morning and afternoon bus route as assigned.
- Review Transfinder daily for CDL expiration dates and physical renewals.
Create and distribute beginning-of-year folders and information packets for bus drivers. - Obtain and maintain updated seating charts and information for each route.
- File and email student suspension forms to drivers as directed.
- Update Transfinder routing software with maps and routes as needed.
Field Trips
- Receive and monitor email notifications for new field trip approvals.
- File pre-trip sheets and collect student counts for the Transportation Supervisor.
- Complete approval documentation for the Supervisor, enter trips into the bus book, and send email confirmations to teachers or coaches.
- Monthly: enter all field trips into the mileage reimbursement sheet for district records.
Data Entry and Record Keeping
- Enter and file all maintenance records for buses and vehicles.
- Enter and file all fuel purchase and usage records for buses and vehicles.
- Complete monthly data entry and filing of fuel reports for gasoline and diesel.
- Maintain records in compliance with district and ADE transportation requirements.
- Conduct yearly limited queries with consent forms for all drivers.
- Complete full queries for all new hires, including obtaining consent forms and managing online registration through the FMCSA Clearinghouse.
CDL Training and Driver Supervision
- Serve as the district’s CDL training supervisor for new and prospective bus drivers.
- Recruitment of bus drivers
- Provide hands-on instruction in pre-trip inspections, behind-the-wheel training, and passenger safety procedures.
- Ensure all trainees meet ADE, FMCSA, and district certification requirements before operating district vehicles.
- Conduct refresher and remedial training for current drivers as needed.
- Maintain documentation of driver training hours, progress, and certifications.
- Coordinate driver testing schedules and assist HR with licensing compliance.
- Promote a positive, safety-focused culture among transportation personnel.
GROUNDS AND MAINTENANCE SUPERVISION
Head of District Grounds
- Ensure all district campuses and facilities are well-maintained and aesthetically appealing.
- Oversee grounds maintenance tasks, including mowing, trimming, edging, weed eating, and seasonal cleanup (monitor summer student workers as well).
- Plan and coordinate grounds schedules to maintain consistency across campuses.
- Monitor and ensure upkeep of outdoor athletic fields, playgrounds, parking lots, and landscaping areas.
- Report facility or grounds issues requiring repair or improvement to the Maintenance Supervisor or Assistant Superintendent.
- Support special projects and seasonal facility preparation (graduations, athletic events, etc.).
Inventory and Purchasing
- Monitor and maintain inventory for buses, vehicles, the shop, grounds equipment, and office supplies.
- Create purchase orders and order fuel (coordinate with suppliers via text confirmation).
- Order and restock necessary office, maintenance, and grounds supplies.
Knowledge, Skills, and Abilities:
- Strong attention to detail and organizational skills.
- Ability to work independently and as part of a team.
- Excellent communication and customer service skills.
- Ability to lift and carry heavy equipment and work in a variety of conditions (indoors, outdoors, confined spaces, elevated areas).
Minimum Qualifications:
- High school diploma or GED.
- Valid CDL license and clean driving record.
- Ability to pass required background checks.
Working Conditions:
- Moderate to heavy physical activity, including lifting (up to 50 lbs), climbing ladders, bending, and standing for extended periods.
- Exposure to varying weather conditions, noise, and mechanical hazards.
- Occasional after-hours or emergency call-outs may be required.
