ROLE SUMMARY
A Client Services Coordinator is responsible for supporting the team with every stage of the financial planning process and supporting all advisors with client operations. This role will serve as a liaison between the client, advisor and processing centers, for the purposes of Financial Planning and product placement (investment processing, insurance applications, annuities, account transfers, 401(k) rollovers and account servicing). While some tasks are administrative functions, this position will include and be asked to partake in strategic thinking, innovative problem solving, process efficiencies and elevating the client experience.
KEY AREAS AND TASKS
ADVISOR ADMINISTRATIVE SUPPORT
- Engage with clients in a positive, approachable and respectful manner.
- Assist financial advisors with preparation for client meetings, manage client files, schedule appointments, participate in client meetings and handle follow-up tasks/communications.
FINANCIAL PLANNING COORDINATION
- Help to create efficient processes and procedures for all stages of the financial planning process.
- Create accounts, update and upload all client information into A360.
- Send out I360 login and documents for clients to sign/return.
- Monitor client progress to ensure that all financial documents from clients (income statements, tax returns, investment accounts, etc.) are uploaded and updated properly.
- Schedule onboarding call, quarterly client reviews and upload necessary meeting notes after each client meeting.
- Lead weekly Financial Planning check-in meetings.
- Interact with processing center(s) to ensure plan is delivered on time.
INSURANCE/INVESTMENT PROCESSING
Insurance:
- Process and evaluate new applications for life and disability insurance, ensuring accuracy and compliance with underwriting guidelines.
- Coordinate with underwriters, agents, and medical providers to gather required information and resolve application discrepancies.
- Communicate with clients regarding application status and helping to satisfy any additional requirements.
Investment:
- Investment Account Onboarding
- Prepare and process new investment account applications
- Maintain accuracy and compliance with custodian requirements
- 401(k) Rollovers & Third- Party Coordination
- Conduct phone calls with clients to facilitate direct rollovers
- Guide clients through documentation and next steps with warmth and clarity
- Account Contributions & Transfers
- Set up recurring contributions and transfers in accordance with client goals
- Monitor transaction status and proactively resolve issues
