About the Department
Provides entry-level administrative support to multiple teams or a department for various programs and projects. This position will provide support to the department’s Financial Group and Purchase Card Program. Responsibilities include utilizing agency forms, processes, and systems to prepare and review labor and analytical reports; processing timesheet and labor adjustments; coordinating human resources-related actions; providing customer service and communication support; and performing various administrative and analytical duties as assigned.

Position Duties
- Assists in performing administrative and organizational analysis and participates in projects, budgeting, and administration
- Conducts research studies and collects data for management reports and programs
- Responds to inquiries for information from staff, management, and the public
- Troubleshoots software and basic hardware problems
- Prepares reports and correspondence
- Maintains and updates reference and procedural materials and computer databases
- Assists in developing policies and procedures
- Reviews and approves invoices
- Catalogs, orders, organizes, and disburses reference and technical materials
- Purchases manuals and materials for department; reviews and process requisitions and invoices
- Performs analytical work in support of a department's business
Minimum Qualifications
A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:
Education
- Bachelor's Degree in Business, Public Administration, or a related field
Experience
- None required
Certifications/Licenses/Special Requirements
- A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
Preferred Qualifications
Preferred Qualifications (PQs) are used to identify relevant knowledge, skills, and abilities (KSAs) as determined by business necessity. The following are the preferred qualifications:
- Experience utilizing Microsoft Excel, including creating and managing Pivot Tables
- Experience providing support across multiple functional areas such as Accounting, Payroll, and Human Resources
- Experience utilizing business systems or software platforms such as FIS, Oracle, or Power BI to manage data, generate reports, and support operational or project activities
