What You Do

Full-time Opening: 40 hours/week
Scheduled Shifts: Monday - Friday
Scheduled Hours: 8-hour shifts with 30-minute lunch break (7:00am - 3:30pm, 7:30am - 4:00pm, or 8:00am - 4:30pm)
Location: Administrative office on Glen Forest Drive, Richmond, VA 23226 
**hybrid/remote work options available with manager's approval and following completion of in-person training**
 
Summary: Responsible for verification and communication related to patient accounts, including collection of payments.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

 

  1. Gathers and analyzes data to determine accurate patient account balance; identifies and reviews delinquent accounts; arranges for patient pre-payments; coordinates and enforces financial agreements. 

  2. Manages incoming queries from patients and clinical staff regarding billing/charges, insurance coverage, and self-pay pricing.

  3. Manages correspondence with third-party billing partner(s) related to patient accounts, addressing patient and/or carrier concerns.

  4. Follows collection policy guidelines to make recommendations regarding delinquent accounts.

  5. Obtains benefits for pregnancies and procedures, relays to patients and collects per policy.

  6. Coordinates patient refunds and refund requests with third-party billing partner(s) as necessary.

  7. Reviews patient insurance package details for accuracy and eligibility, updates as necessary.

  8. Evaluates patient accounts to apply necessary charges for no-show, late reschedule, and late cancellations.

  9. Performs related work as required.

  10. Attends required meetings.

  11. Complies with Virginia Women’s Center’s policies and procedures. Follows guidelines required by HIPAA, OSHA, and Red Flags regulations. Maintains appropriate attendance and punctuality as defined by Virginia Women’s Center.

 
Qualifications

Education, Experience, and/or Licensure
 
  • High school diploma or GED required. Associate or higher-level degree preferred. 
  • Experience working with collections, billing, insurance, or medical administration required. Medical billing/collection experience preferred.
  • Will consider equivalent combination of education and experience.
 
Knowledge, Skills & Abilities
Knowledge of medical billing/collection practices and procedures.
Knowledge of organizational policies, regulations, and procedures.
Skill in managing multiple priorities.
Skill in grammar and spelling.
Skill in establishing and maintaining effective internal and external working relationships.
Ability to communicate and convey information and expectations in a professional and courteous manner.
Ability to speak effectively to patients and employees of the organization.
Ability to maintain the strictest of confidentiality.
Ability to make mathematical calculations, balance and reconcile figures, and make changes accurately.
Ability to examine documents for accuracy and completeness.
Accuracy in computer data entry.
 
Physical Demands
Requires sitting and standing associated with a normal office environment. Manual dexterity using a calculator and computer keyboard.
 
Work Environment
Work is performed in a busy office environment. Frequent contact with insurance carriers and patients. Continual patient contact may involve dealing with angry or upset individuals. Position allows for hybrid/remote work options at the discretion of management.
