JOB SUMMARY

Responsible for maintaining all financial aspects of the museum, including budgeting, financial reporting, cash flow management, internal controls, and strategic financial planning.  Act as a key advisor to the museum director and board on fiscal matters while ensuring compliance with regulations and maximizing the museum’s financial health.  Collaborates with other departments to support the overall mission of the Museum.  In addition to strategic components, the Controller is charged with developing and implementing more sophisticated policies and procedures both in finance and in general operational realms. 

ESSENTIAL DUTIES and RESPONSIBILITIES

  • Prepare, with LT and department heads, the Museum’s annual operating and capital budgets.  Serve as liaison and mentor to department heads on accounting/financial matters including the operating and capital budgets.
  • Prepare financial projections for long-range planning.
  • Monitor and analyze financial performance against budget and identify trends and potential risks.
  • Provide insightful financial information to inform strategic decision-making.
  • Direct preparation, review, and analysis of monthly financial reports to ensure that the Museum’s financial condition is in accordance with the guidelines established by administration and Board.  Provide regular and timely financial reports to the Finance Committee to inform the committee members of the Museum’s financial status. Provide staff support to the Finance Committee and serve as its management liaison.
  • Direct cash activities to maintain appropriate cash levels.  Manage banking relationships to optimize service and minimize cost to the Museum.
  • Ensure compliance with grant reporting requirements.
  • Establish and maintain control over Museum’s restricted and endowment funds.
  • Monitor the investment portfolioProvide staff support to the Investment Committee and serve as its management liaison.
  • Direct preparation for annual audit and other audit activities.  Coordinate issuance of annual financial statements
  • Manage preparation of tax returns and related reports to ensure compliance with governmental reporting requirements.  Coordinate preparation of the financial portion of grant reports and billings to ensure compliance with requirements and policies of funding sources.
  • Manage the financial risk management program.
  • Manage the risk management program for the museum including insurance for all policies including the Art policy
  • Serve as management liaison to the Board of Trustees, Executive Committee, Finance Committee and Investment Committee; effectively communicate and present critical financial matters at board and committee meetings.
  • Represents the organization externally, particularly in banking, legal, and vendor negotiations.
  • Maintain an appropriate system of policies, internal controls, accounting standards, and procedures.
  • Manage finance & accounting functions such as: treasury management, 403B plan, grants management & reporting, restricted gifts & expenses, payroll, accounts payable, and receivables and endowment management.
  • Manages day-to-day activities of financial operations of the organization to ensure timely processing of financial obligations.
  • Manages bank accounts, including performing monthly bank reconciliations and monitoring bank accounts to determine needed transfers for covering weekly expenses.
  • Monitors organization and program monthly budgets; regularly evaluates the financial performance of the organization in coordination with the Director and President; monitors the financial position of all organization programs and transactions to ensure adequate resources for continuing organization program financial operations.
  • Maintains organizational integrity by keeping information confidential.

SUPERVISORY RESPONSIBILITIES

The Controller oversees the work of the Staff Accountant.

Qualifications


  • Business or Accounting degree mandatory, a master’s in business administration is preferred.
  • CPA preferred.
  • 5-8 years’ experience in a senior management role ideally with both external audit and in-house fiscal management experience.
  • Experience either as an employee or board member of a nonprofit organization; must be familiar with nonprofit finance and accounting regulations including restricted gifts and expenses and endowment management & accounting.
  • Proven history of success facilitating progressive organizational change and development within a growing organization.
  • Excellent judgment and creative critical thinking skills including negotiation and conflict resolution skills.
  • Strong mentoring, coaching experience to a team with diverse levels of expertise.
  • Entrepreneurial collaborator who can multitask.
  • Superior management skills: ability to influence and engage direct and indirect reports and peers.
  • Self-reliant, analytical, and results-oriented mindset.

PHYSICAL DEMANDS/WORK ENVIRONMENT

This role is primarily based in an office setting, with frequent movement throughout the museum and its grounds. It requires the ability to sit or stand for extended periods, frequent use of hands and fingers for handling objects and tools, and effective communication in person, over the phone, and via email. Specific vision abilities needed include close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The role may occasionally involve lifting up to 30 pounds.
