Position Function Summary

Under the direction of the Chief Executive Officer (CEO, the Executive Assistant is primarily responsible for supporting the work of the CEO, and at the direction of the CEO. May provide support to activities of other Executive Team members, either as pare of cross-functional work the CEO is engaged in or for independent projects on behalf of others with CEO approval. Primary areas of position emphasis are 1) assisting with organizing and managing the CEO workload and related calendars; 2) assigned projects; 3) organization and management of key databases and overall records archiving, updating, and retrieval; and, 4) general office duties such as scheduling, responding to internal and external request for assistance, inter-office and external communications, scheduling, and similar duties.

Requirements

Essential Responsibilities

  • Provides primary administrative support to the CEO, and others as assigned; 
  • Maintains project action lists.
  • Coordinates recurring reports and topical lists with the CEO to ensure that reports and updates to the Board and other groups are current.
  • Maintains and tracks contracts, agreements, and records, with notifications to the CEO and appropriate other parties when renewals, expirations, and other status updates are pending and need attention.
  • Maintains and updates administrative policy and operations manuals, reference materials, directories, and meeting files on a regular basis and as changes occur to keep them current and accurate.
  • Records and distributes minutes of designated LFMC meetings in a timely manner; may occasionally serve as recording secretary for Board, Board Committee, and provider meetings.
  • Make arrangements for meetings by scheduling facilities and services as directed. 
  • Assist in implementation of special events as assigned.
  • Provide customer service as needed and appropriate, including answering phones and greeting people at the administration reception desk.
  • Monitor office supplies and initiate requisitions to replenish.
  • Monitor the maintenance of office equipment and initiate repairs, as needed.

Education, Experience and Skills/Training

  • High school diploma/GED minimum; Associate degree or higher preferred from an accredited program, or certificate in general office skills/administration or related training;
  • Five years prior administrative work experience preferably in health care, business, non-profit or public sector setting.
  • Any equivalent combination of the above experience, training, and/or education at the discretion of LFMC hiring authorities.
