We are a seeking an ambitious, friendly, positive, and compassionate Billing Administrative Assistant to join our team.
The Billing Administrative Assistant provides clerical and operational support to the Billing Department to ensure efficient handling of mail, documentation, and administrative tasks. This role is critical in properly routing financial and medical correspondence, processing deposits, scanning and organizing records, and assisting with patient communications.
The Assistant must have a base understanding of healthcare-related documentation (EOBs, checks, invoices, medical records, credentialing documents) and demonstrate attention to detail in ensuring materials are routed correctly. In addition, the role supports billing operations through return mail management, light patient outreach, deposit preparation, and coordination with offshore clerical teams.
RESPONSIBILITIES
- Receive, open, and sort daily mail; correctly identify EOBs, checks, invoices, credentialing documents, medical records, and route to appropriate departments.
- Prepare and process daily deposits, including check logging, money tapes, cash handling, and occasional bank runs.
- Manage return mail process, including updating addresses, contacting patients, and documenting outreach.
- Scan, upload, and organize documentation into appropriate systems or document libraries.
- Support appeals process through preparation, mailing, and receipt tracking of correspondence.
- Communicate and delegate clerical tasks to offshore support team as directed.
- Assist with patient calls related to returned mail, address verification, or basic billing follow-up.
- Provide clerical support to billing leadership, including filing, correspondence, and miscellaneous administrative tasks.
- Perform other duties as assigned to support billing and patient account operations.

Requirements
QUALIFICATIONS
- High School diploma or equivalent.
- At least 1–2 years of clerical, billing, or administrative support experience.
- Base knowledge of healthcare/medical billing documents (EOBs, invoices, checks, medical records).
- Strong organizational and multitasking skills.
- Reliable cash-handling and deposit preparation experience.
- Competency with Microsoft Office and scanning/file management systems.
Desirable
- Experience in a healthcare billing or revenue cycle environment.
- Familiarity with NextGen PM system.
- Bilingual (Spanish/English).
- Prior experience working with offshore or distributed teams.
