This Orange Coast College position will support the Office of Instruction. The Office of Instruction provides leadership, administrative support, and accountability to the instructional wing so that it is better served to achieve its goals. Curriculum Management, Scheduling, Faculty Load and Pay, Instructional Planning Council, and Accreditation are supported by the Office of Instruction. Classified professionals in the Office of Instruction demonstrate the ability to interpret and implement contract and legislative changes; communicate effectively with students, management, administrators, and external stakeholders; and apply great attention to detail to assignments.

Summary
Provides specialized technical and logistics support toward the development of the schedule of classes and other District publications. Receives, edits, and maintains data for class information such as scheduled hours, credit hours, and class and curriculum descriptions, to facilitate the publishing of the schedule of classes and support online student registration.
Distinguishing Career Features
The Instructional Scheduling Technician is a specialized technical position that plans, sequences, sets timelines, and follows up with the logistics that produce optimal course scheduling and room assignments. Using computer-aided schedule optimization and course description applications, the Technician facilitates the process of planning and creating schedules encompassing multiple academic and fiscal years.
Essential Duties and Responsibilities
Specific duties may vary among departments, divisions, and jobs. Incumbents typically perform a substantial portion or all of the following types of duties, as assigned:
- Oversees and coordinates the development of the class and room schedule. Utilizing a computer-aided system for class scheduling, enter class schedule, description, credit, and prerequisite information. Computes an optimal schedule and room assignments to minimize conflicts with other courses and enhance registration.
- Collects pertinent schedule and session date information to support work plans used for production of the course schedule that considers and includes the processes and timelines for receiving and inputting class and curriculum descriptions, credit hours, scheduling information, and locating classrooms. Maintains/updates completed schedules throughout the active term length via changes sent by division offices and instructions from Enrollment Services.
- Distributes preliminary class schedules and course descriptions to academic divisions for review and update. Verifies information and proposals for rooms and times.
- Provides technical assistance to academic divisions for resolving room and time conflicts, room change requests, taking into consideration related classes and attendance.
- Works with academic administrators to ensure classes are set up correctly with appropriate information and links to the registration processes.
- Proofreads information submitted for the schedule and directory by academic divisions and committees to verify accuracy of descriptions, links, majors, credit hours, schedule, and room. Edits directory information such as course sections, course codes, descriptions, prerequisites, and levels.
- Serves as a liaison between other college departments for updates to the schedule development and course information programs, curriculum, and instruction information, and accuracy of class schedule information included in brochures and publications.
- Compiles and analyzes data pertinent to class schedule development and publication; classroom/instructional facility utilization, class activity, and other areas as required. Completion of this task accurately affects the load sheet data.
- Facilitates continual review and maintenance of course information listed in the class schedule.
- Develops procedures, best practices, and timelines to ensure that courses, content, schedules and related information are accurate and up to date.
- Serve as liaison to/from this office and other District and campus divisions to support routine reports, data gathering, data input, upgrading, and evaluating computer programs.
- Functional Administrator for management of the “25Live” facility database - assist with all of the campus schedulers for all campus rooms (could be an issue needed for a dedicated position). Maintain user security groups, maintain and update data on all campus facilities, train new users and 25Live schedulers, communicate to campus community system version updates, maintain campus 25Live portal site, provide self-help and training materials, monitor
- Live help email box.
- Performs other related duties as assigned that support the objective of the position.

Knowledge and Skills
- The position requires in-depth knowledge of the steps and processes used to produce college master course schedules, including the timing to conform to the curriculum development processes.
- Requires working knowledge of the procedures for creating course sections in a way that optimizes the connections between and for academic majors.
- Requires working knowledge of the rules, policies, procedures, and requirements for maintaining course records.
- Requires basic knowledge of faculty workload computations.
- Requires well-developed knowledge of computer-aided programs that optimize the scheduling of events.
- Requires well-developed knowledge and skills with personal computer-based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, analytical, and data entry onto custom databases (examples include Banner and 25Live).
- Requires basic skills in facilitating small group decision-making processes.
- Requires sufficient math skills to interpret statistics and perform a full range of arithmetic calculations.
- Requires well-developed knowledge of proper English usage, grammar, spelling, and punctuation to proofread and edit written materials intended for public distribution.
- Requires well-developed human relations skills to inspire cooperation and collaboration, resolve conflicts, convey technical concepts to others, and conduct informal presentations to small groups.
