Position Title: Administrative Support Specialist
Reporting to: Branch Manager
Department: Sales/Service

Job Summary
The Administrative Support Specialist supports the Sales and Service teams as well as the Branch Manager(s).
Work Orders & Repair Orders
- Open new service tickets in Proceed for both branches
- Assign priority, schedule techs and dispatch crews using the branch calendars and Branch Manager direction
- Track progress and close tickets once upon service completion (labor, parts, notes, etc.)
Preventive Maintenance & Scheduling
- Keep PM schedules up to date for our generator fleet and customer sites
- Send out reminders for upcoming service, help avoid scheduling overlaps
- Make sure techs and parts are lined up ahead of time
- Flag any overdue or delayed service jobs
Docs & Recordkeeping
- Upload inspection sheets, FSRs and all other required docs to OneDrive
- Keep everything filed in an organized and consistent manner
Customer & Internal Comms
- Be the go-to for customers on non-technical updates and scheduling (as directed by Branch Manager)
- Coordinate with parts, sales and branch managers to work efficiently
- Facilitate smooth communication between both teams
Branch Support & Backup
- Support 2 local branches equally — assist with closing out tickets, recordkeeping, etc.
- Shadow Service Manager to serve as backup in their absence
- Complete Admin work as assigned

Qualifications
Qualifications
- High school diploma or equivalent required
- College degree is a plus
- Industry knowledge is preferred, experienced with working on or around diesel trucks/equipment and/or generators
- 3+ years’ experience in Office support
- Excellent customer service skills
- Working knowledge of Microsoft Office Suite
- Valid Driver’s License to assist with local procurement duties
WORK CONDITIONS
Physical Demands/Work Environment:
This position regularly requires walking, standing, sitting, stooping, bending, kneeling and climbing stairs. It also often requires pushing, pulling, twisting, lifting 50+ lbs. and working in a variety of weather conditions and noise levels.
