POSITION SUMMARY
The Administrative Supervisor will assist in leading administrative operations within AirLife’s Phoenix Distribution Center, our largest owned Distribution Center. This role will need to effectively lead the warehouse by supervising and coordinating activities of the administrative teams by promoting productivity, engagement, and growth while identifying areas of opportunity within our processes and creating plans to improve these processes. The Administrative Supervisor is a leader within the building who must demonstrate AirLife’s values in their day-to-day work with customers, teammates, and leadership.
POSITION QUALIFICATIONS
The specific minimum competencies needed to perform the essential duties of the job include knowledge, skills, abilities, level of education, and experience necessary for successful performance. These competencies are generally demonstrated through specific service, education, or training.
Knowledge, Skills, & Abilities:
- Strong knowledge of domestic and international shipping processes and documentation.
- Familiarity with freight classification, LTL/FTL shipping, and export regulations (e.g., customs, incoterms, AES filing).
- Excellent organizational and communication skills.
- Proficiency in all Microsoft Office products.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with planning and staffing required, and budgeting preferred.
- Proven leadership skills, coaching and developing leaders & employees.
- Strong process improvement mindset focusing on continuous growth.
- Knowledge of warehouse operations and inventory systems (e.g., WMS).
- Ability to evaluate overall operations and develop short- and long-term goals to meet organizational objectives.
- Demonstrated analytical, problem-solving, and decision-making skills with the ability to drive results.
- Understanding of P&L.
- Ability to delegate when assigning employee workloads.
- Problem-solving skills to handle customer complaints and production issues.
- Clear knowledge of warehouse shipping operations.
- Ability to multitask in a fast-paced environment.
- Flexible to work overtime, weekends, or different shifts as needed.
- Ability to remain stationary for extended periods when working on the warehouse floor.
Level of Experience:
- 5+ years of supply chain experience, including distribution center, inventory, and transportation experience.
- 3+ years of experience leading a team.
- Bilingual preferred (fluent in Spanish preferred).
Level of Education: Bachelor’s degree in business, Logistics, or related field preferred, or commensurate experience.
Travel: As the business needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The core tasks, duties, and responsibilities that must be performed on the job.
- Line Manager Duties:
- Track productivity, accuracy, and attendance of associates; provide coaching and corrective action as needed.
- Manage timecards for direct reports.
- Act as primary point of contact for customer service, third-party logistics providers and freight carriers to confirm pickup times, resolve issues, and ensure service reliability.
- Provide training, coaching, and performance feedback to bullpen personnel to maintain a high-performing team.
- Address any delays, documentation errors, or other obstacles to maintain workflow continuity.
- Provide clear direction, coaching, and performance management to support team development and achievement of AirLife goals.
- Align team’s objectives with AirLife priorities, ensuring compliance, promoting a culture of accountability, and upholding AirLife values.
- Take accountability and ownership for actively participating in recruitment processes and supporting fair treatment in disciplinary processes for your team.
- Drive continuous improvement by fostering innovation, operational excellence, and adoption of best practices within the team.
- Champion employee engagement, inclusion, and career development through regular check-ins, talent reviews, and succession planning.
- Manage your team’s budget responsibly and exhibit financial accountability.
Individual Contributor Duties:
- Continuously improve bullpen and documentation processes.
- Oversee scheduling of outbound shipments and trailer rotation to maximize dock efficiency and carrier utilization.
- Ensure accuracy and completeness of all shipping paperwork including BOLs, customs documentation, and shipping and appointment logs.
- Monitor performance metrics (e.g., pick rate, accuracy, attendance) and implement improvements as needed.
- Liaise with 3rd party logistics providers and freight carriers to ensure on-time pickups and deliveries.
- Maintain and track shipping schedules and performance metrics; proactively resolve delays or discrepancies.
- Train, coach, and evaluate shipping clerks and loaders on best practices and safety procedures.
- Collaborate with internal departments such as Production, Inventory, and Customer Service to ensure alignment and support order fulfillment timelines.
- Promote a culture of safety by ensuring all team members follow safety policies, wear PPE, and operate equipment properly.
- Maintain accurate shipping records in WMS and other shipment platforms.
- Enforce compliance with all applicable transportation, export, and safety regulations.
- Lead bullpen team in communicating efficiently with internal and external customers.
- Master systems and use mastery to coach team members and continuously improve processes.
- Act as a representative for the administrative team in warehouse leadership meetings.
- Communicate successes and opportunities of the shipping team to executive leadership
- Manage timecards, attendance, and corrective actions for the team.
- Ensure team is following all safety processes.
