Description

Position Purpose:

The Special Guest Relations Manager is responsible for planning, coordinating, and executing all aspects of visits from special guests and guest instructors at Charis Bible College and Andrew Wommack Ministries. Serving as the primary point of contact, this role oversees logistics for guests participating in college sessions, conferences, and special events. The ideal candidate embodies professionalism, grace, and warmth—ensuring every guest experiences an atmosphere of excellence, comfort, and genuine hospitality that reflects the heart of the ministry.

Note: This position requires a highly flexible schedule, including extended workdays and weekend hours during events. Current Charis Bible College students are not eligible due to schedule conflicts and confidentiality requirements. Preference will be given to candidates residing in Woodland Park.

Essential Duties:

  • Lead and manage the Special Guest Relations (SGR) team, ensuring excellence, professionalism, and consistency across all areas of service.
  • Serve as the primary point of contact for all VIPs, special guests, and guest instructors.
  • Act as liaison between guests and internal departments to ensure smooth communication and coordination.
  • Communicate all logistical details clearly and professionally prior to each visit.
  • Coordinate travel arrangements, lodging, ground transportation, and parking for all guests.
  • Collaborate with internal departments to facilitate AVL and product table needs before and during visits.
  • Personally greet, orient, and escort guests upon arrival at conferences, events, and class sessions.
  • Manage product sales on behalf of guests, including inventory receipt and return.
  • Ensure timely completion and distribution of all required documentation (e.g., VIP packs, Speaker Agreement forms, W-9s).
  • Liaise with personal assistants or support staff to ensure all guest needs are met.
  • Plan, organize, and create thoughtful, personalized gifts for VIPs and special guest instructors as an expression of ministry appreciation.
  • Oversee and assist with greenroom hospitality, including VIP and guest meals, cleanup, and room resets.
  • Maintain awareness of each guest’s schedule to ensure punctuality for all appointments, sessions, and events.
  • Participate in departmental and planning meetings related to guest visits and event coordination.
  • Manage project tracking and logistics using Monday Board or other project management systems to ensure accurate information flow.
  • Ensure every guest is cared for with excellence, discretion, and attention to detail throughout their visit.
  • Coordinate or assist with meetings, meals, tours, and filming requests involving guests in collaboration with other departments.
  • Partner closely with the Conference & Events team on all event-related logistics involving guests.
  • Recruit, train, and supervise volunteers and interns assisting with hospitality, meal service, seating, and product handling.
  • Oversee the maintenance and scheduling of all greenrooms, lodges, and guest homes used for special guests and guest instructors.
  • Assist with additional ministry or departmental events as needed.
  • Develop, monitor, and manage the Special Guest Relations team budget on a monthly and annual basis.
  • Perform additional duties and projects as assigned.

Knowledge, Skills, and Abilities:

  • Strong leadership and team management abilities, demonstrating a heart for service and excellence.
  • Must be dependable and punctual with the ability to travel between AWM HQ and Charis Bible College locations in Woodland Park, CO.
  • Exceptional organizational, multitasking, and time management skills, with the ability to prioritize effectively in fast-paced environments.
  • Excellent verbal and written communication skills, with an emphasis on clarity, professionalism, and warmth.
  • High emotional intelligence and discernment, maintaining discretion and grace when handling confidential or sensitive information.
  • Professional presence and polished appearance, consistently reflecting the ministry's values in conduct and communication.
  • Welcoming, tactful, and relational demeanor that fosters trust and comfort with guests and colleagues.
  • Able to work both independently and collaboratively across departments with strong attention to detail.
  • Calm and composed under pressure, with a proactive approach to solving problems and serving others
  • Proficiency in Microsoft Word, Excel, Outlook, and project management platforms such as Smartsheet or Monday.com.
  • Adaptable, dependable, and dedicated to maintaining the highest standards of hospitality and ministry excellence.

 

Requirements:

  • Must have a personal relationship with Jesus Christ.
  • Must sign the Statement of Faith.
  • A high school diploma or equivalent education is required.
  • Charis Bible College graduate and/or AWM/Charis employee preferred (currently enrolled students are not eligible).
  • Typing speed of 60+ wpm with 90% accuracy is required.
  • Must pass all required checks.

 

Experience:

  • 2–4 years of experience in guest relations, customer service, or event coordination — ideally within a ministry or hospitality setting.
  • 1–3 years of leadership experience overseeing teams or volunteers, with a demonstrated ability to motivate, mentor, and develop others.
  • Strong familiarity with project management principles and organizational systems is highly desirable.
  • Formal training or equivalent hands-on experience in leadership or hospitality is considered an asset.
  • Compensation will be commensurate with experience.
