JOB TITLE:  STUDENT INFORMATION DATA MANAGER 

 

FLSA STATUS: NON-EXEMPT and 11 MONTHS

 

GENERAL STATEMENT OF JOB

The Student Information Data Manager is responsible for maintaining all student information and records at the school level including completing all required Student Information System (SIS) related procedures and accurate state and federal reporting. This role will work closely with teachers, school administrators, parents, and other school staff involved in the use of data entry, reporting, and analysis to ensure accurate data management including student information systems data, enrollment/withdrawals, scheduling, course grades, state assessment scores, CRDC, Graduation, Gradebooks, IAM, student report cards, historical records and other items as required.



DUTIES AND RESPONSIBILITIES

 

ESSENTIAL JOB FUNCTIONS

  • Enters and manages student data in the Student Information System, including enrollments, withdrawals, electronic cumulative records, student/teacher/room schedules, transcripts, report cards, test scores, immunizations, demographics, parent and emergency contact information.
  • Monitors the entry of attendance and grades by teachers into the SIS - directing teachers on attendance procedures and policies.
  • Monitors student absences for correct excused/unexcused coding.
  • Manages student sign-in/sign-out logs, based upon directions from the principal.
  • Works with the Principal to ensure communication to parents concerning student absences and tardiness, including attendance letters per school district procedures.
  • Employs the SIS to generate reports to satisfy deadline-driven requirements of the school, administrators, local and state government, law enforcement and health agencies, as well as the North Carolina Department of Public Instruction.
  • Report any functionality issues to the Student Information System Coordinator
  • Maintains a log of students who enrolled and withdrew from the school throughout the year.
  • Provides home room assignments, class rosters, and schedules as needed.
  • Collects data for, and prints, marking period report cards including determining student’s eligible for honor roll. 
  • Manages student electronic and paper cumulative records according to federal (FERPA) and district policies and procedures; including requesting records for new students upon enrollment and coordinating the transfer of the electronic cumulative records for exiting students.
  • Creates, distributes, and troubleshoots student and parent account access credentials for the student and parent portal. 

  

ADDITIONAL JOB FUNCTIONS FOR DATA MANAGERS SERVING SCHOOLS GRADES 9-12

  • Handles any transcript requests for current students including recent graduates.
  • Works with the counseling department to ensure that student transcripts are accurate. 
  • Collaborates with community colleges and universities on enrollments and grades for students participating in various college programs.
  • Maintains data for academic and attendance to support the North Carolina State Automated Drivers License (NC SADLS) program
  • Manages the master schedule and individual student scheduling, which includes assisting administrators in determining needs and identifying solutions when a student is less than 100% scheduled in partnership with the school counselors.
  • Maintains records of student progression towards Graduation Requirements and audits course enrollments to verify prerequisite requirements have been met in partnership with school counselors
  • Calculates GPA, class rank, and transcript endorsements (NC Scholar, Global Language, Honor Society etc.)
  • Prepares and/or maintains information for preparing the vocational report/electronic files 

 

MINIMUM TRAINING AND EXPERIENCE

  • High school diploma
  • Associate's Degree from a two-year college or technical school preferred. Transcripts may be requested to show proof of education.
  • Two years of experience with the Student Information System preferred.
     

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Administrative skills to interpret local and state policies governing enrollment/withdrawal, attendance, immunizations, and health records, as well as student accountability per the NCDPI Student Attendance and School Accounting Manual. 
  • Software/word processing skills for data entry, reporting, word processing, desktop publishing, spreadsheets, and the student information program.
  • Communication skills for speaking with school personnel, students, parents, and outside agencies.
  • Uses discretion to structure tasks to meet expectations and prioritizes to meet deadlines.
  • Keeps information confidential.
  • Needs limited supervision and is able to work independently and as a part of a team.
  • Uses initiative in carrying out recurring assignments independently without specific instructions.
  • Able to make decisions and solve problems with school data and information provided.
